Job Description
We are now interviewing customer service-oriented people to join us as a Veterinary Receptionist. Our four-doctor equine hospital emphasizes client care and education, while striving to provide the very best service and care to our clients and their horses. We are looking for a Veterinary Receptionist with outstanding customer service skills. Our front desk team is the first and last point of contact with our clients, and as the face of our clinic, they create lasting impressions of our Practice.
Job Duties- Greets clients in a friendly, professional, and efficient manner.
- Answers multi-telephone line and disburses callers in a friendly, prompt, and professional manner. Convey messages accurately and appropriately.
- Retrieves and disburses messages.
- Communicates information between clients and medical team.
- Provides patient education as needed.
- Differentiates between routine and emergency cases.
- Schedules, cancels, reschedules, and confirms patient office visits in an accurate manner and according to office scheduling procedures.
- Admits patients according to schedule, collect applicable deposits from clients, and prepare patient charts.
- Obtains and inputs into charts medical and other information from clients and referring Veterinary clinics
- Discharges patients and collect payments for services from clients.
- Assists clients with applying for financial assistance programs, including Care Credit and Scratch Pay.
- Assists the Practice administrative team with clerical and administrative tasks, which may include accounts receivable communications, invoicing and preparing reports.
- Handles routine billing questions as they arise and forwards more complex questions to Practice administration.
- Responds to medical record requests in a timely manner.
- Retrieves and enters all prescription requests in an accurate manner and according to Practice procedures.
- Cross covers for other clerical staff as needs arise.
- Ensure lobby and reception areas are organized and neat, including stocking and cleaning
- Orders office supplies for the Practice
Skills and Abilities
- Excellent communication and customer service skills, computer skills, organization, time management, attention to detail and the ability to remain poised and efficient in a fast-paced environment.
- Three years of relevant customer service experience preferred, previous experience around horses preferred.
- High school diploma or equivalent, or relevant work experience required.
- $15 - $17 hourly part-time dependent on experience
- Monday – Friday, 8 - 12 pm or 12 – 5 (shift hours may vary slightly)
