QUALIFICATIONS: Post-Secondary education and demonstrated skills/experience in accounting or bookkeeping and basic computer literacy, including PC and other applications (including g suite).
IMMEDIATE SUPERVISOR(S): Activities Director and Building Principal

JOB GOAL: Assumes the role of personal secretary to the Activities Director. Accepts responsibility for aiding administration in the management of building activities.
CONTRACT
HOURS:
7:30 a.m. – 3:30 p.m.
CONTRACT LENGTH: 12 months
CLASSIFICATION: Secretarial/Clerical Group E
Hours: Eight (8) hours per day. Twelve (12) months.
EMPLOYMENT DATE: As arranged.
PERFORMANCE RESPONSIBILITY:
- Assists the Activities Director in establishing a positive public relations program for the school through effective handling of incoming telephone calls, personal contacts with employees of the district, parents, citizens, students, and visitors. Respects confidentiality in a school setting.
- Accurately prepares any paperwork communication for the activities director.
- Officials’ vouchers and programs.
- Maintains facility usage calendar /Bound Calendar.
- Event Workers – Coordination;
Track staff volunteer hours. - Activity Passes – Issue and track.
- Activity Purchase Orders;
Follows procedure manual for purchase orders. - Activity deposits, money boxes, track outgoing and incoming entry fees; bill if not received.
- Certificates/Awards.
- Support to coaches, parent letters for banquets, copying, etc.
- Maintains up to date rosters in Bound and Infinite Campus.
- Utilizes Infinite Campus to merge information into Bound.
- Sport participating entry.
- Maintain records of student physical and concussion forms.
- Schedules and manages community use of building facilities except for little theatre, auditorium, and gyms.
- Aids the Activities Director to secure game officials and send contracts except those contracted by the league commissioner. Helps organize home game personnel (e.g., security, timers, scorekeepers, announcers, field staff, ticket sellers/takers, etc.).
- Develops and distributes a program calendar. Works closely with the AD to coordinate scheduling to ensure the efficient use of building facilities. Publicizes activities. Responds to requests for information.
- Coordinates with the Transportation Director and activity sponsor for student transportation for sanctioned activities. Coordinates and manages school issued vans.
- Prepares/maintains accurate records. Submits required paperwork on time.
- Maintains an orderly central filing system and file of materials.
- Efficiently operates and aids in maintaining all office equipment.
- Is willing to learn and enthusiastically looks forward to new job challenges.
- When finding it necessary to leave the building for any reason, notifies appropriate supervisor and/or administrator prior to departure and clocks out through district time clock system.
- Maintains a neat, clean and appropriate personal appearance and work area and is punctual to work.
- Maintains a professional. Wears work attire appropriate for the position.
- Assist with eligibility check and letters to parents.
- Maintains a good working relationship with other secretaries and assist as needed.
- Maintains athletic display cases.
- Maintains athletic historical records.
- Other duties as assigned.
