The Accounts Payable Specialist is responsible for the detailed and accurate coding of invoices, matching of purchase orders, receiving, and vendor payments. Ensure the completeness of payments through review and matching of checks to invoices and expense reports. This position must also communicate with vendors in resolving discrepancies and errors. Responsible for all phases of accounts payable processing.

  • Processes invoices and payment requisitions.
  • Handles all employee expense reimbursements and verification of credit card transactions.
  • Prepares various account reconciliations as required, including payables, accrued expenses and fixed asset accounts.
  • Works with purchasing and receiving to identify and correct all quantity or price discrepancies.
Productivity / Job Knowledge 20%
  • Maintains vendor files and 1099 records.
  • Maintains accounts payable records and corresponds with vendors.
  • Prepares ACH and other online bank transactions.
  • Maintains all records relating to donations and charitable contributions.
  • Prepares and distributes monthly capital expenditure report.
  • Prepares daily accounting and backlog reports.
  • Processes payroll as needed.

Requirements

Qualifications and Essential Skills
  • Associate's degree and a minimum of three (3) years of experience in accounting related field; or equivalent combination of education and experience, required. Emphasis on accounts payable, preferred.
  • Strong computer skills (particularly Excel and Word).
  • Understanding of A/P processes strongly preferred, to take initiative and drive improvements.
  • Strong verbal and written communication skills, as needed, to interface with others internally and externally.
  • Experience in writing routine reports and correspondence.

The noise level in the office work environment is usually quiet. Employee may be exposed to shop environment while distributing documents to shop area.
