We are seeking a detail-oriented, welcoming, and mission-driven Administrative Specialist to serve as the front office anchor and provide essential administrative, billing, and organizational support to our team. Individuals with disabilities are strongly encouraged to apply.
Position SummaryThe Administrative Specialist is the first point of contact for visitors and callers and plays a vital role in ensuring smooth daily operations. This position provides clerical, billing, human resources, and general office support to staff, consumers, and the Business Office.
This role is ideal for someone who is organized, service-oriented, and enjoys supporting both people and processes.
Key ResponsibilitiesFront Office & Public Interaction
- Create a welcoming and professional atmosphere for visitors and callers
- Answer and route phone calls appropriately
- Maintain information and referral records
- Assist consumers with paperwork, copies, and basic office needs
- Assist walk‑ins with public computers and assistive technology
- Maintain organized digital filing system
- Receive and distribute mail and deliveries
- Process cash receivables and prepare bank deposits
- Track consumer satisfaction surveys and assist with reporting
- Manage petty cash
- Assist staff with document preparation, data entry, mailings, and supply management
- Prepare and submit monthly Fee‑For‑Service billing
- Provide billing reports
- Review remittance reports and follow up on unpaid or denied claims
- Maintain employee records and time sheet documentation
- Manage job postings
- Assist with employee benefit communications
- Maintain agency website content
- Understanding of Independent Living philosophy (self‑determination, self‑advocacy, consumer control)
- Strong interpersonal and customer service skills
- Excellent organizational and time management abilities
- Attention to detail and ability to meet deadlines
- Proficiency with Microsoft 365 and general office technology
- Two years of related education and/or experience
- Personal experience with disability
- Experience with insurance billing
- Human resources experience
- Knowledge of disability-related resources
- Experience with a Center for Independent Living
