Outpatient Receptionist / Court Specialist
The Outpatient Receptionist / Court Specialist is responsible for providing reception services and administrative support for the Outpatient Therapy team, the Outpatient Coordinator & Outpatient & Telemedicine Services at Wyoming Behavioral Institute. These functions include answering phones, providing reception support for the WBI Outpatient function and basic administrative functions for this team. Duties may include pre-authorization of clients through various insurance companies, scheduling or client tracking, and providing general office and administrative support relating to the Outpatient therapy function, including support with confidential patient records as required.
This role will also have a primary focus to assist the Inpatient team with required administrative, clerical and technological support for Natrona County court hearings, with a focus on orienting and supporting patients to attend court hearings and assisting with technology interfaces to facilitate patient and physician attendance at required court hearings. Great attention to detail is required for coordination, tracking of milestones, scheduling, and addressing client needs and insurance requirements, records and scheduling needs.
Must have familiarity and comfort with various technologies, Microsoft Office (Word, Excel, Outlook), Zoom and healthcare charting/medical records. Must be comfortable in interacting and supporting patients in the Inpatient setting with mental health diagnoses and their families and caregivers. Healthcare experience and familiarity with healthcare processes is highly preferred. Expected to give minimum of 4-weeks notice prior to voluntary resignation.
WORKING CONDITIONS: Work is primarily completed in an office environment. Involves long periods of sitting and moderate to heavy phone, computer and Zoom use. Must be able to push/pull or lift up to 40 pounds occasionally. Must be able to facilitate Zoom calls using audio-visual and computer equipment.

- Professional, courteous in-person verbal skills in interactions, professional telephone etiquette in dealing with customers, patients, staff and others in answering phone calls and greeting patients, visitors and others in the Outpatient and Inpatient reception duties
- Superior organization and milestone tracking skills
- Experience with confidential medical records including maintenance of records and filing experience
- Detail and deadline oriented
- Ability to work independently and collaboratively with clients, families, providers, Therapists and Outpatient Director to meet the goals of the Outpatient team
- Professional communication through phone, email, Telehealth platforms (Zoom, etc.) as well as in person
- Extensive experience with technology:
- working with virtual platforms such as Zoom
- multiple record keeping/tracking platforms
- data entry and MS Office suite of services (Word, Excel, Outlook)
- coordination of electronic calendars
- ability to learn new electronic systems
- Ability to handle multiple calls/tasks at once
- Experience with medical records, Patient Health Information, willing to train on court procedures and documentation. Must have professional demeanor sufficient to facilitate telephonic hearings with court officers, patients and physicians.
- Associate’s Degree or equivalent of 2 years of comparable experience in Business Administration, HIM, Finance, Medical Assisting, Reception, Accounting or other related field. Experience with Court hearings or legal matters in patient care is a plus.
- Must have EXPERT level of experience in reception and telephone reception skills, must have attention to detail and ability to monitor, track and report progress on numerous systems and functions with limited supervision.
- Intermediate to expert level familiarity with Microsoft Office Suite, including Zoom platform, Excel spreadsheets as well as experience with numerous computer software, web interface or office systems for tracking, monitoring and reporting of hospital metrics.
- 1-2 years of experience in an administrative support role, preferably with 2 or more functions to support. Plus for experience as Medical Assistant in a healthcare environment with comparable level of administrative responsibilities.
- Following hire, must complete required hospital safety training including Handle with Care training in order to safely facilitate connections with patients during court hearings.
