Overview
Outpatient Receptionist / Court Specialist – The Outpatient Receptionist / Court Specialist provides reception services and administrative support for the Outpatient Therapy team, the Outpatient Coordinator & Outpatient & Telemedicine Services at Wyoming Behavioral Institute. Responsibilities include answering phones, receptionist support for the Outpatient function, and basic administrative tasks. The role may involve pre-authorization of clients through various insurance companies, scheduling or client tracking, and supporting confidential patient records related to the Outpatient therapy function.
A primary focus is to assist the Inpatient team with administrative, clerical and technological support for Natrona County court hearings, including orienting and supporting patients to attend court hearings and facilitating technology interfaces for patient and physician attendance. Strong attention to detail is required for coordination, milestone tracking, scheduling, and responding to client needs, insurance requirements, records and scheduling needs.
Proficiency with Microsoft Office (Word, Excel, Outlook), Zoom, and healthcare charting/medical records is expected. Comfortable interacting with patients in the Inpatient setting and supporting their families and caregivers. Healthcare experience or familiarity with healthcare processes is highly preferred. Expected to give a minimum of 4-weeks notice prior to voluntary resignation.
Working Conditions: Work is primarily in an office environment. Requires long periods of sitting and substantial use of phone, computer and Zoom. Ability to push/pull or lift up to 40 pounds occasionally. Must be able to facilitate Zoom calls with audio-visual and computer equipment.

- Extensive technology experience including:
- Zoom and other virtual platforms
- Multiple record-keeping/tracking platforms
- Data entry and MS Office suite (Word, Excel, Outlook)
- Coordination of electronic calendars
- Ability to learn new electronic systems
- Ability to handle multiple calls/tasks simultaneously
- Experience with medical records and Patient Health Information; willingness to train on court procedures and documentation with a professional demeanor suitable for telephonic hearings with court officers, patients and physicians
MINIMUM QUALIFICATIONS
:
- Associate’s Degree or equivalent of 2 years of comparable experience in Business Administration, HIM, Finance, Medical Assisting, Reception, Accounting, or related field. Experience with court hearings or legal matters in patient care is a plus.
- Expert level experience in reception and telephone reception skills, with strong attention to detail and the ability to monitor, track and report progress across numerous systems with limited supervision.
- Intermediate to expert proficiency in Microsoft Office Suite, including Zoom; experience with multiple software and office systems for tracking, monitoring and reporting hospital metrics.
- 1-2 years of administrative support experience, preferably supporting multiple functions; medical assistant experience in healthcare is a plus.
- Post-hire training to complete required hospital safety training, including Handle with Care, to safely facilitate connections with patients during court hearings.
