Position SummaryThe Adult Faith Formation Administrative Coordinator serves as a key member of the Faith Formation team, providing administrative and pastoral support for all adult evangelization and formation efforts. This role supports both parishioners and those inquiring about becoming Catholic, with particular emphasis on the Order of Christian Initiation of Adults (OCIA). The ideal candidate is organized, flexible, attentive to detail, and excels in interpersonal communication.
This position represents the mission of St. Michael the Archangel Catholic Church and requires a flexible schedule, including daytime hours, Sundays, and occasional Saturdays or evenings.
- Coordinate responses to phone calls, emails, and walk-in inquiries related to Adult Faith Formation programs.
- Meet and consult with inquirers, catechumens, and Confirmation candidates to assist with challenges related to sacramental documentation and marriage records.
- Manage the collection, verification, and organization of sacramental records for adults in OCIA and Adult Confirmation programs.
- Direct and support volunteers engaged in sacramental data collection to ensure accuracy and efficiency.
- Collaborate with leadership in the Evangelical Catholic initiative to monitor leader engagement and document apostolate progress.
- Coordinate registration, promotion, and communication for Sunday morning OCIA sessions and parish Adult Bible Study initiatives.
- Schedule and coordinate catechists for weekly Adult Faith Formation gatherings, ensuring they have the materials and support they need.
- Support and contribute to the planning and execution of Faith Formation staff initiatives and parish events.
- Manage registration, enrollment, and program data using Realm and future parish data management systems.
- Accompany and guide adults discerning next steps following parish missions and other parish evangelization efforts.
- Recruit, onboard, and support Adult Faith Formation volunteers in collaboration with Faith Formation staff.
- Ensure all Adult Faith Formation volunteers maintain Safe Environment compliance.
- Maintain the weekly Adult Faith Formation newsletter and update formation resources on the parish website to keep information current and accessible.
- Coordinate weekly OCIA and Adult Confirmation meetings, including room setup, attendance tracking, name tag preparation, and related administrative needs.
- Manage the scheduling of meeting rooms to support adult faith formation programs and events.
- Collaborate with the Associate Director of Adult Evangelization and Formation in coordinating and supporting bi-annual parish missions.
- Participate in Faith Formation staff meetings and contribute to team planning and communication.
- Assist at Faith Formation team “all hands” liturgies and events, providing support to youth and adult ministry leaders as needed.
- Lead or assist with special projects and event coordination in support of the Faith Formation team.
- Maintain availability on Sundays and occasional evenings or weekends as required by Adult Faith Formation program activities.
Much time is spent in an office or meeting room setting. The employee is required to sit for extended periods, talk, stand, and hear. The employee will often perform light work: lifting, transporting, and/or carrying materials such as learning supplies, books, and lightweight furniture. The noise level in the work environment is usually moderate.
Physical RequirementsAbility to lift moderate weight, including small boxes of books or meeting materials.
- Previous parish ministry experience as a volunteer or staff.
- An active, fully initiated, practicing Catholic in good standing.
- A working knowledge of the Order of Christian Initiation of Adults (OCIA) process.
- An understanding of the Tribunal process at the diocesan level.
- Experience with adult education methods, specifically in Catholic adult faith formation environments.
- Exhibit strong relational and pastoral skills with an ability to work with, and relate to, a diversity of personalities and ages typical of a parish setting.
- Strong organizational skills.
- Experience with Office 365 and MS Office suite of products.
- Experience with A/V technology.
- Professional demeanor reflective of the values and mission of the Diocese of Raleigh.
- Employment is contingent upon passing a criminal background and reference check; must complete Diocese-sponsored Safe Environment Training upon hire.
