The Inventory & Logistics Assistant provides on-site execution support for day-to-day logistics and inventory tracking activities, ensuring accurate asset tracking, timely internal transfers, and efficient freight coordination. This role is designed to increase logistics throughput and reliability while freeing senior inventory & logistics leadership to focus on higher-value planning and expansion work.
This is a hands-on, detail-oriented role that requires regular access to the equipment yard and close coordination with internal teams and external freight partners.
Responsibilities- Track equipment assets and maintain accurate internal records
- Validate inventory tracking system data matches logistics documentation
- Coordinate and process internal equipment transfers
- Reconcile photo/video vendor reports with deliverables received
- Prepare bills of lading and shipping documentation
- Send and track freight requests to carriers
- Document landing costs on items in ERP for carriers
- Relieve logistics leadership of routine coordination tasks
- Provide backup front desk coverage as needed
- Support general logistics documentation and administrative needs
- Ability to work fully on-site with regular access to the equipment yard
- Strong attention to detail and organizational skills
- Comfort working across multiple systems and coordinating with internal teams
- Confident communicator with sales, drivers, logistics contacts, partner yards, inventory and logistics colleagues.
- Comfortable prioritizing competing deadlines in a fast-paced sales environment
- Proficient with CRM systems, Net Suite, Docu Sign, and collaborative workflow tools
- High School Diploma or GED required; some college preferred
- 2 or more years of logistics, freight coordination, or asset management experience
- Prolonged periods sitting at a desk and working on a computer
- Ability to work fully on-site with regular access to the equipment yard
- Ability to safely assist with checking equipment
- Ability to stand and walk for extended periods
- Ability to bend, crouch, and reach as required to check equipment
- Ability to lift and carry up to approximately 30 pounds
- Ability to work safely around heavy equipment with appropriate training and PPE
