The Office Coordinator is responsible for the seamless execution of daily administrative logistics and facility operations across three firm locations. This role serves as the central point of contact for supply procurement, vendor coordination, and internal team support. The ideal candidate is highly organized, proactive, and capable of managing multiple operational work streams simultaneously.

Primary Responsibilities Facility and Vendor Management
  • Office Maintenance: Act as the primary liaison for property-related services, including cleaning crews, pest control, and general repairs for all three office facilities.
  • Technology Support: Address basic internal technology issues and coordinate with external IT resources for complex resolutions.
Procurement and Logistics
  • Supply Chain Management: Manage all office supply inventory and procurement via Amazon Business to ensure consistent availability of necessary materials.
  • Food and Beverage Logistics: Coordinate regular Instacart orders for refreshments and other needed supplies.
  • Mail and Shipping: Oversee all outgoing postage and coordinate logistics with third-party carriers, including Fed Ex and UPS.
Administrative Support and Culture
  • Leave Coordination: Document and track staff PTO requests to ensure accurate scheduling and firm-wide visibility.
  • Internal Event Planning: Lead the logistics and execution of firm events, including professional milestones and personal celebrations such as wedding or baby showers.
  • Staff Liaison: Conduct regular check-ins with team members to identify gaps.
Scope of Authority
  • Procurement: Authorized to manage inventory and place orders for approved office and kitchen supplies.
  • Excluded Duties: This is not an HR or Office Management role. This position does not involve financial authority, check‑writing, payroll processing, or personnel management.
Requirements
  • Proven experience in office coordination and administrative support.
