The Customer Service Representative (CSR) is responsible for building rapport and trust with clients by delivering exceptional service consistently. CSRs handle accurate and timely data entry of shipping and receiving information for single or multiple customers and process orders to support efficient site operations.
As part of the DSV team, associates are expected to meet company objectives in performance, safety, and quality, and comply with all corporate and site‑specific policies.
Essential Duties and Responsibilities- Process and input all customer orders.
- Run and print shipments from WMS.
- Generate stock reports to check product availability.
- Create required paperwork and information for customer work orders.
- Check all orders for special requests.
- Expedite orders, trace as needed, and notify customers of activity.
- Follow up with other departments to ensure service standards are met.
- Ensure proper invoicing by verifying customer information.
- Handle returned merchandise efficiently and provide proper credit.
- Maintain good relationships with customers, responding to all inquiries and complaints regarding work orders, invoicing, shipments, inventory management, and customer satisfaction.
- Act as liaison between the warehouse and customers for account administration, and between the office and customers regarding invoicing and credit changes.
- Ensure accuracy of all receiving and shipping documents.
- Gather and maintain records related to shipping and receiving activities.
- Confirm that receiving counts match packing lists and purchase orders, and that shipping counts match picking documents.
- Prepare reports concerning customer service as required by supervisors.
- Assist in resolving discrepancies.
- Operate computer terminal proficiently.
- Enter and verify data regarding customer orders, shipments, receipts, inventories, adjustments, etc., accurately and timely.
- Oversee all paperwork associated with orders and maintain corresponding files.
- Answer phone calls and operate various office equipment necessary to perform duties.
- Greet customers and visitors to the office.
- Effectively correspond with customers as required.
- Answer incoming calls cheerfully, courteously, and promptly.
- Route each call to the proper party and take messages when necessary.
- Assist callers with general information and inquiries.
- Direct visitors to appropriate departments.
- Assist drivers at the check‑in window throughout the day.
- May be expected to cross‑train in other administrative functions to support the site.
- Work overtime as dictated by business needs.
Required Qualifications
- High school diploma or GED.
- 1 year experience in customer service‑related capacity.
- Ability to work in unregulated warehouse temperatures ranging from mild to moderate.

Computer Skills
- Intermediate computer skills.
- Proficient with MS Office applications.
- Knowledge of WMS functions.
- English (reading, writing, verbal).
- Business writing proficiency.
- Intermediate level to verify quantities, count inventory, or perform other handling and distribution duties.
- Strong attention to detail and timely task completion.
- Ability to perform duties with minimal supervision.
- Multi‑tasking ability.
- Effective communication skills.
- Adaptability to change in a fast‑paced environment.
- 1-3 years warehouse/logistics support experience.
- 2-3 years customer service‑related experience.
- Occasionally: handling/fingering, sitting.
- Frequently: bending.
- Constantly: walking and standing.
- Ability to lift, carry, push, pull 21-50 pounds.
- Reach above shoulder, reach outward, squat, or kneel as needed.
Employees are rarely exposed to fumes or airborne particulates, toxic or caustic chemicals. Noise level is usually low to moderate.
