Position SummaryThe CAE Coordinator will play a key role in supporting the mission of the Center for Academic Excellence (CAE), enhancing student success through workshops, tutoring, faculty collaboration, and administrative support. This position is ideal for someone who thrives in a dynamic, fast-paced academic environment, enjoys working directly with students and faculty, and has strong organizational and communication skills.
This is a full-time, benefited, onsite position with an hourly rate of $23.00.

Essential Duties and Responsibilities Instructional & Program Coordination (50%)- Coordinate and design workshops, lectures, tutoring sessions, and learning activities to enhance student learning in computer science and math.
- Provide direct support to students through large group, small group, and one‑on‑one interactions.
- Develop and implement tools for measuring student academic progress against internal and national benchmarks (e.g., MSCY program standards).
- Build and maintain collaborative partnerships with CSUDH faculty and external partners (such as community colleges, universities, K‑12 schools, and agencies) to expand academic resources and research opportunities.
- Manage fiscal duties for the CAE2 Center:
- Assist the director in preparing annual reports.
- Perform monthly budget reconciliations.
- Maintain office supply inventory and place necessary orders.
- Collaborate with the director and team on center‑related projects.
- Provide day‑to‑day administrative support to the center:
- Manage office calendars, screen mail and calls, and greet visitors.
- Support faculty, staff, and lab technicians with department‑related needs.
- Maintain faculty recruitment files and coordinate travel arrangements, including processing travel expense claims.
- Compose and finalize correspondence, coordinate center newsletters, and marketing materials.
- Prepare meeting agendas, minutes, brochures, and notices.
- Process online requisitions and hiring paperwork for student assistants and summer program staff.
- Maintain databases for alumni and recruitment tracking.
- Process MSCY and MSCS graduate program applications.
- Prepare data and materials for special reports and projects.
- Oversee general center operations and ensure smooth workflow.
- Coordinate high‑level center activities:
- Provide accurate information to students and faculty.
- Train and supervise student assistants.
- Coordinate special events, meetings, and conferences, including scheduling and logistics.
- Manage departmental procedures for faculty recruitment.
- Input class schedules and oversee course permissions each semester.
- Perform other duties as assigned to support the mission and operations of the center.
Skills & Qualifications
- Strong command of English grammar, spelling, and punctuation.
- Thorough knowledge of general office procedures and equipment.
- Familiarity with the academic environment of a comprehensive university.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience with People Soft and other university systems is a plus.
