We are seeking a highly organized, proactive, and detail‑oriented Executive Assistant / Office Manager to support our executive team and help maintain a smooth, professional, and engaging office environment. This role combines executive‑level administrative support with oversight of facilities operations and company culture initiatives. Key Responsibilities Executive Support- Manage complex calendars for the executive team, ensuring effective scheduling and prioritization of meetings.
- Coordinate travel arrangements and logistics for executives and board members.
- Support expense management and process reimbursements as needed.
- Prepare agendas, briefing documents, templates, notes, and follow‑up materials for:
- Weekly management team meetings
- Quarterly all‑hands presentations
- Board meetings and other key leadership sessions
- Oversee daily office operations to ensure a professional, welcoming, and efficient workplace.
- Facility maintenance – manage vendor relationships, coordinate repairs, service calls, and upgrades (HVAC, janitorial, electrician, plumber, etc.).
- Serve as the primary point of contact for visitors and vendors, managing front‑door communication.
- Manage office supplies.
- Plan and execute company events, team activities, and philanthropic initiatives that strengthen culture and engagement.
- Organize company‑wide event meals (e.g., lunches, breakfasts) and recognition efforts.
- Partner with leadership to develop creative ways to enhance employee experience and foster connection across teams.
- Maintain and update the company intranet to keep information current and accessible.
- 3+ years of experience in executive support, office management, or a similar role.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills.
- Proven ability to handle sensitive information with discretion and professionalism.
- Tech‑savvy and comfortable with productivity tools (e.g., Microsoft Office, Atlassian JIRA, OpenAI, or similar).
- A proactive, positive, and adaptable attitude, with a sense of urgency and ownership.
