Our Company is expanding and hiring a full-time Executive Assistant to join our team to help us with administrative and clerical duties.

We are a fast-growing real estate holding company that operates several different businesses in and around Real Estate Investing and services for the real estate investing industry, anchored by Investor Fuel, a community of professional real estate investors and coaching business, as well as several businesses that invest in real estate.

Responsibilities
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains executive’s appointment schedule by planning and scheduling appointments, meetings, conferences, and teleconferences.
  • Welcomes guests and customers by greeting them in person or on the telephone; answering or directing inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Manages projects and conducts research as needed; following up on results.
  • Prepares presentations and reports by collecting and analyzing information.
  • Provides historical references by developing and utilizing filing and retrieval systems; recording meeting discussions, organizing and maintaining files and records.
  • Coordinate travel for the owners – airfare, hotel, car rental and keep the owner’s calendar updated with all travel agendas and details.
  • Maintain the owner’s contact database, various CRM systems, and contacts.
  • Help coordinate speaking opportunities and details for owners with conventions and conferences, etc.
  • Track deliverables and action items from the owner’s calls, meetings, conferences, and Emails.
  • Coordinate tasks for others as needed
  • Assist and lead other projects as needed

The Executive Assistant is an individual who thrives on taking risks and facing challenges while maintaining a win-win, positive attitude.   • Monitor deadlines and provide notices to appropriate parties when necessary
  • Act as the main point of contact the CEO
  • Complete office management tasks such as organizing filing systems and ordering office equipment and supplies
  • Help prepare for client events (we host several large events per year around the country)
  • Manage schedules including itineraries, travel arrangements, and team meetings for the CEO and other team members.
  • Organize incoming information such as phone calls, voicemail messages, emails, and memos and report details to an executive
  • Help prepare meetings and take detailed minutes
  • Other assistant duties as assigned from executives such as pick up orders, and other personal assistant tasks
Knowledge/Skills
  • High school diploma or equivalent required (College preferred)
  • Previous proven experience providing high level support to busy executives
  • Very high level of attention to detail
  • Very strong “doer” – great at solving problems and getting things done.
  • Available during normal business hours, and periodically, outside of normal business hours.
  • Has knowledge of common softwares (Microsoft Office, Google suite), and fast learner on other systems.
  • Excellent written and verbal communication skills
Compensation
  • Base Salary: $50,000 – $60,000 Annually
  • Paid Time Off
  • Bonuses:
    Based on Performance up to 10% of Base.
