Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon assignments and demand, this could include the Carrollton or Newnan campus.

Overview

The Records Compliance Manager supports the Director of Policy and Information Management in operationalizing records and information management (RIM) activities and compliance operations. This role assists in the implementation of university-wide records policies and procedures, ensures adherence to applicable federal and state regulations, and helps facilitate internal process improvements related to records handling, retention, and compliance documentation.

Responsibilities
  • Support the university's Open Records Officer by operationalizing search efforts, tracking requests, and gathering responsive records (i.e., review public records requests; determine permissible scope of disclosure within requirements of law; obtain and prepare documents for disclosure; coordinate disclosure process; maintain files of public records requests; train university personnel regarding public records laws; and assist University General Counsel with other records/legal functions) as assigned by the Open Records Officer.

    Assist with red actions, records clean-up, and other required tasks to ensure compliance with the Georgia Open Records Act (GORA). Developments, implementation, and review of records and information management policies and procedures in alignment with institutional goals and regulatory requirements.
  • Monitor compliance with records management policies and assist in maintaining documentation of retention and destruction practices. Support the management and oversight of the university's records retention schedule, including collaboration with department representatives. Maintain tracking logs and support documentation for open records requests in coordination with the Open Records Officer.
  • Assist in the coordination of internal reviews related to records handling and regulatory obligations (e.g., FERPA, GORA). Develops and supports the delivery of training and awareness initiatives on records management, compliance obligations, and best practices for employees and students. Provide operational and administrative support for projects initiated by the Director of Policy and Information Management.
  • Respond to inquiries regarding records policies, retention, and compliance processes and offer guidance to departments. Collaborates with departmental representatives to support the integration of secure records management systems and ensure data protection.
  • Performs other related duties as assigned.
  • Required Qualifications Required Education

    Bachelor's Degree

    Required Experience

    Bachelor's degree from an accredited institution OR minimum of 5 years of professional experience in records management, compliance, administrative coordination, or related areas. Strong understanding of records handling and privacy compliance regulations (e.g., FERPA, Georgia Records Act, Georgia Open Records Act). Excellent organizational, interpersonal, and (verbal and written) communication skills. Demonstrated ability to maintain confidentiality and prioritize and complete multiple projects in a deadline-driven environment.

    Ability to multitask, prioritize, and work independently with minimal supervision.

    Preferred Qualifications Preferred Education

    Master's Degree

    Preferred Experience

    Master's degree from an accredited institution in Public Administration, Legal Studies, Business Information Science, or a related field. Experience (5-7 years) working in a higher education or public sector environment. Familiarity with electronic records management systems.

    Proposed Salary

    $56,910 annually. Paid on a monthly basis.

    Knowledge, Skills, & Abilities

    Proficiency with Microsoft Office Suite and record related platforms or databases. Attention to detail and accuracy in data entry, analysis, and documentation. Strong written and verbal communication skills. Ability to interpret and apply laws and policies relating to information management and compliance. Ability to collaborate effectively across departments and support administrative leaders.

    Physical Requirements

    Lifting up to 15lbs. Office Environment - Work normally performed in a typical interior work environment.
