Field Representative II, Cross Functional

Position Profile

Supports the daily operations of one or more MS locations including any or all of the following: copy production and finish work, mail center operation, receptionist duties, audio‑visual, administrative tasks, and maintaining billing logs and reports. Supports the region’s MS logs and reports, assists during implementation, covers absences/vacations across Ricoh locations, and provides support during new account start‑ups. Responsible for supporting operational objectives at customer sites within a geographic territory.

Reports directly to the Site/Operation Manager or IAM, based on local staffing structure.

Job Duties and Responsibilities

  • Assists new MS site implementation.
  • Assists Site Manager or Supervisor in offering suggestions for improvement (new or existing processes).
  • Assists in training new and existing employees.
  • Maintains accurate, complete, and up‑to‑date Site Procedure Guides, forms, logs, and other site branding as directed.
  • Collects data for the Monthly Management Report as directed.
  • Orders paper, toner, and other supplies as directed.

In the absence of onsite personnel, may perform any of the following:

  • Processes all incoming and outgoing mail.
  • Files and labels documents and materials for storage and retrieval.
  • Shipping and receiving, including movement of boxes or equipment.
  • Provides courier service for pickup and delivery of mail and copy jobs (on‑campus and offsite).
  • Assists in the Copy Center and performs all functions required for copy requests (binding, folders, laminating, etc.).
  • Performs basic troubleshooting on all equipment within the Ricoh Center.
  • Assists with coordinating work assignments to meet deadlines and service deliverables.
  • Manages all aspects of the Ricoh Center in the absence of the Site Manager or Supervisor.
  • Leads or directs the Daily Huddle when the Site Manager or Supervisor is absent. (For single‑person sites, attends via conference call.)

Qualifications (Education, Experience, Certifications)

Typically required:

  • High school diploma plus 6–12 months of related work experience.
  • Valid, violation‑free driver's license, reliable transportation, and required auto insurance per Ricoh policy.
  • Experience using and operating shrink‑wrap, paper cutter, hole driller, bindery equipment, jogger, tape machine, electric stapler, scales, collators, and related equipment.
  • Experience with postage meter equipment.

Knowledge, Skills, and Abilities

  • Ability to use and troubleshoot mailroom equipment.
  • Good organizational skills.
  • Strong communication and customer service skills.

Working Conditions, Mental and Physical Demands

  • Office environment with normal lighting, ventilation, temperature, and noise levels.
  • Work assignments are diversified; must interpret, comprehend, and apply complex instructions and information.
  • Some physical effort required, including prolonged standing, walking, bending, reaching, stretching, and lifting/moving up to 50 lbs.
  • Occasional pushing/pulling of machines on wheels (up to 400 lbs.) for repair or relocation.
  • Walking between buildings may be required.
  • Moderate dexterity required (calculator, keyboard, tools, eye‑hand coordination).
