Brief Description
The Senior Treasury Administrative Assistant plays a vital role within the Treasurer’s Office and is responsible for financial transactions, tax collection monitoring, advanced reporting, and administrative support. This position ensures the accuracy of tax collections, financial recordkeeping, and compliance with county finance regulations while operating with minimal supervision. The position requires advanced proficiency in Microsoft Excel, including complex spreadsheets, financial analysis, and detailed reporting;
strong working knowledge of Microsoft Word for preparation of formal correspondence and official documentation; and daily operational use of Microsoft Outlook for professional communication and scheduling. Exceptional email etiquette, professional written communication skills, and the ability to communicate clearly and diplomatically with elected officials, departments, external agencies, and the public are required. Bilingual preferred.
- Financial & Tax Administration:
- Compute, receive, process, and deposit all payments related to the Treasurer’s Office.
- Maintain and reconcile cash drawers and deposits with tax payments and bank records.
- Monitor tax collector accounts and follow up on past‑due accounts.
- Research and verify property tax listings and payment requests.
- Prepare reports for various departments, ensuring accuracy and compliance.
- Process and track revenue county-wide, aligning with the County Finance Program.
- Administrative & Office Support:
- Assist the Treasurer and Chief Deputy with administrative tasks.
- Answer phone calls and respond to routine inquiries from the public.
- Oversee all aspects of the P‑Card usage for department, including reviewing, coding, ensuring compliance with policies, monitoring spending limits, and resolving any issues related to card usage.
- Manage office supply inventory and order necessary materials.
- Reporting & Compliance:
- Develop and maintain daily, weekly, monthly, and yearly financial reports.
- Reconcile property tax roll collections and distribution reports.
- Prepare accurate financial reconciliation reports for audits and internal reviews.
- Other Duties:
- Work irregular hours as needed and travel to Artesia or Carlsbad offices when required.
- Attend job‑related meetings, training, and professional development activities.
- Perform other duties as assigned to support the Treasurer’s Office operations.
