An exciting opportunity has arisen to join the Integrated Medicine Directorate as a Medical Secretary. The post holder will primarily support the Stroke department.
The Stroke department is currently part of the Integrated Medicine directorate, Medicine Clinical Board but is in the process of moving to the Neurosciences directorate, Specialist Services Clinical Board.
Recruitment to this post will not be interrupted by this move, there will be no changes to the job description or the job role but it is likely that the recruiting manager and eventual line manager of the role will change to align to the new organisational arrangements.
The ability to speak Welsh is desirable for this post;

- Provide a comprehensive and flexible secretarial service for the Consultant(s) and medical staff.
- Carry out audio and typing duties associated with medical correspondence, discharge and clinic letters, medical and x-ray reports, statistics and other official correspondence.
- Receive, open, distribute and prioritise consultant and other medical staff mail.
- Organise and maintain Consultant and junior medical staff's diaries.
- Liaise with appropriate departments/ hospitals in arranging routine and investigative procedures as directed. Ensure all investigation results are readily available for consultant and junior medical staff
- Arrange ad hoc clinics as required by the consultant and contact patients, liaising with medical records dept as appropriate.
- Make and receive telephone calls to/ from patients, relatives and General Practitioners and take appropriate action

Person Specification Qualifications- RSA 3/NVQ or equivalent experience
- Audio typing and transcription typing
- AMSPAR
- Advanced experience of secretarial/administrative work
- Demonstrable experience of working in a busy clinical office environment
- Experience of using initiative
- Experience of dealing with complex confidential issues
- Experience of dealing with the public
- Demonstrable experience of working in a multi- disciplinary team
- Proficient in Microsoft Office software, and email and a range of IT software packages
- Excellent organisational skills
- Excellent telephone manner and communication skills
- Ability to prioritise workload
- To function efficiently under pressure and to meet deadlines
- Adaptable & flexible in approach to work duties
- Knowledge of NHS systems
- Knowledge of medical terminology
- Knowledge of the NHS
- Approachable, Confident, Perceptive, Committed, Motivated, Team player & Conscientious
- Ability to work Flexibly across different hospitals
