Position

Summary

The Sales Support Specialist plays a critical role in enabling revenue growth by strengthening sales infrastructure, maintaining data integrity, supporting contract and rate management processes, and developing high-quality client-facing materials. This role is analytical, detail-driven, and proactive — ensuring the sales organization operates with accurate data, organized documentation, and compelling presentation materials across all lines of business. The Sales Support Specialist acts as a central coordinator between Sales, Operations, and Marketing to ensure opportunities are captured, contracts are current, reporting is accurate, and sales materials reflect the latest corporate positioning.

This role directly supports the strategic objectives outlined in the Executive Proposal to strengthen Sales & Marketing infrastructure.

What You Will Do
  • Salesforce & Data Management
  • Maintain Salesforce data integrity, dashboards, and reporting accuracy
  • Review Pricing Calendar and update Salesforce with missing operational opportunities
  • Ensure opportunities, contract expiries, and renewal dates are current
  • Maintain rate renewal tracking and forecasting information
  • Monitor and update customer compliance portals
  • Keep internal databases updated (awards, purchases, agreements, etc.)
  • Update union-related records and business continuity documentation (BCPs)
  • Assist with Salesforce enhancements and reporting improvements
  • Contract & Commercial Support
  • Support contract management processes across all lines of business
  • Track and manage contract expiry dates and renewal timelines
  • Maintain and update TSA (Transportation Service Agreements) and Statements of Work (SOWs)
  • Support rate renewal preparation and documentation
  • Ensure commercial documentation is organized, current, and accessible
  • Sales Enablement & Presentation Development
  • Assist with executive summary builds and presentation preparation
  • Develop Q  (Quarterly Business Review) presentations and track Q  scheduling
  • Create and update corporate presentations and overviews
  • Assist with presentation collateral development for all lines of business
  • Build and maintain a centralized response repository for RFP and proposal content
  • Support award submissions and corporate profile updates
  • Reporting & Performance Tracking
  • Prepare Monthly Sales Reports
  • Maintain pipeline and opportunity tracking reports
  • Support rate renewal reporting and forecasting
  • Track Q  completion and follow-ups
  • Assist in performance dashboard updates
Research & Sales Intelligence Support
  • Conduct prospect and market research to support sales strategy
  • Maintain intelligence profiles on key target accounts
  • Monitor trigger events and industry activity to inform sales outreach
  • Partner with Marketing to align messaging and campaign materials
What You’ll Bring
  • 1-2 years in sales support, commercial operations, or CRM administration
  • Advanced Salesforce proficiency (data management, reporting, dashboards)
  • Strong analytical and organizational skills
  • Experience with contract management and rate renewals preferred
  • High attention to detail with strong documentation discipline
