Role Overview

The Fleet Compliance Administrator is responsible for ensuring all company vans, drivers, and fleet activities remain compliant with legal, regulatory, and company requirements. The role supports safe and efficient fleet operations by maintaining accurate records, monitoring compliance deadlines, managing fines and penalty notices, and overseeing vehicle and driver documentation.

Key Responsibilities
  • Maintain accurate records for MOTs, servicing, road tax, and insurance.
  • Monitor compliance deadlines and ensure all renewals and inspections are completed on time.
  • Conduct and record regular driving licence checks in line with company policy.
  • Manage and administer vehicle fines, PCNs, toll charges, and penalty notices, including driver nomination and tracking.
  • Maintain up-to-date driver and vehicle compliance documentation.
  • Update fleet systems and databases with accurate information.
  • Manage service schedules, defect logs, and maintenance records.
  • Support internal and external audits by preparing compliance documentation.
  • Ensure all vans meet roadworthiness and safety standards.
  • Track and escalate vehicle defects, fines trends, and non-compliance risks.
  • Liaise with garages, leasing companies, insurers, and service providers.
  • Schedule servicing, inspections, and repairs.
  • Support the Fleet Manager with reporting and compliance tracking.
Key

Skills & Qualifications
  • Previous experience in fleet, transport, or compliance administration (preferred).
  • Strong organisational and administrative skills with high attention to detail.
  • Knowledge of UK van or light commercial vehicle compliance requirements.
  • Experience handling fines, PCNs, or fleet-related penalty notices (desirable).
  • Experience using Microsoft Office and fleet or compliance systems.
  • Strong communication and record-keeping skills.
