Salary: £27,785 - £31,137 with potential for further progression to £35,061 with our pay progression scheme.

Contracted to our Wilmslow, London, Edinburgh, Cardiff or Belfast office, however, we offer flexible home and office-based working opportunities. There will be times when you will be expected to attend the office to collaborate with colleagues or travel due to business need. Please note, from Autumn 2026 our head office will relocate from Wilmslow to Manchester city centre.

You will provide effective, comprehensive and confidential executive and administrative support for Transformation and Delivery and leadership teams in the ICO, their directorates and departments. Working with others to help achieve the outcomes required by senior managers.
You will not hold line management responsibilities but will be expected to collaborate closely with others as necessary.

Key responsibilities:- Assist in the work of directorates and departments; providing support for staff as required, for example in undertaking specific projects, business planning, undertaking research or booking travel for other staff.
- Day to day coordination of complex cross department or directorate business planning and reporting.
Ensure that senior managers have organised schedules; managing and forward planning their diaries and ensuring they have the itinerary and resources required for meetings, speaking engagements etc. - Provide secretarial support for meetings for example by preparing documentation, issuing and responding to meeting invitations, taking minutes etc, using relevant tools to support as appropriate (e.g. Co-pilot).
- Where required support the senior managers by acting as a first point of contact.
- Handle incoming correspondence, assisting with prioritisation and following up actions required where necessary.
- Manage outgoing correspondence, drafting letters, emails, presentations and reports to a professional standard.
- Ensure documents are filed and archived correctly (and securely where necessary).
- On behalf of senior managers, to liaise with external stakeholders, including high profile organisations and individuals, ensuring stakeholders are assisted in their dealings with the ICO in a professional manner.
- Ensure that information is handled with a high degree of confidentiality where appropriate, implementing systems to ensure that confidentiality is maintained where needed.
- Monitoring progress against business plans including producing progress reports.
- Ensure that the Directorate’s administration runs smoothly creating and adhering to relevant policies and procedures.
- Undertake other advanced administrative duties for example, helping with booking training courses, running the budget and ordering system etc.
- Make travel and hotel arrangements both in the UK and abroad which fit in with organisational and personal needs.
- Ensure continuity of service by adhering to recognised office wide business support processes, working closely with Executive Assistants, Business Support Officers and Administrative Assistants and particularly by contributing to the work of the Private Office function as appropriate.
- Experience relevant to the role requirements, as described in the role responsibilities and person specification, and accumulated through any combination of academic or vocational qualifications or experience.
