Purpose of the position:
The purpose of this position is to play a key role in ensuring fixed assets owned, leased or rented by the Organisation are maintained at a high standard. The incumbent will provide an effective vehicle fleet support function for vehicles operating within provinces and ensure adherence to operational, policy and administration procedures.
Minimum Requirements Matric / Grade 12 and a diploma or relevant qualification in Fleet ManagementMinimum of 5 years proven experience in an asset based role, coordinating or managing a large fleet coupled with relevant experience in accounting and/or auditingMinimum of 3 years’ experience within a managerial/supervisory roleConversant with AARTOComputer literacy, especially in Excel and Word (intermediate level)Valid code 08 driver’s licenceClear criminal recordClear credit recordAbility to travel nationallyDuties and Responsibilities
Monitor a fleet of TB HIV Care owned vehicles and long-term vehicle rentalsCheck accident and vehicle inspection reportsDevelop and monitor a vehicle schedule for preventative maintenanceIssue and monitor vehicle fleet cardsSubscribe and track to a Fleet Tracking System and monitors tracker reports on a weekly basisReport traffic infringements to programme and site managersSupport the Travel Department with vehicle linked administration tasksMaintain a roadworthy fleet (approx. 320 vehicles)Register and licence new vehiclesMonitor the Fleet (Tracker / Fleet Analytics) to optimise performanceReview GPS systems to monitor appropriate and reasonable vehicle useProvide regular feedback to programmes on vehicle abuseEnsure that repairs and preventative maintenance are scheduled and completedConduct quarterly inspections to ensure that the vehicle logs are accurately completedResponsible for all administrative tasks linked to the fleet and its operationsMaintain an Asset Management Policy and Procedural manualConduct regular site inspections/audit of assetsMonitor transfer of assets across internal programmes, annual funding cycles, grant periods and between sub-partners.Collaborate and coordinate with procurement on timeous provision of assets to employeesProvide leadership and act as the focal person on all assets related queriesProcess any insurance claims for damaged or lost assetsProvide a disposition plan for redundant assetsMaintain an up to date database of all equipment and assetsThe incumbent will also implement and drive cost saving initiatives and ensure that the fleet is licensed, maintained, safe and reliableThe position works closely with procurement to ensure that assets are delivered in alignment with programmatic needsComprehensive administrative service to the Line Managers and HR Team to ensure accurate and complete record keeping for all employeesSkills and Competencies
