Job Purpose
Monitor and maintain accurate flight schedules, meal counts, and operational data in SAP to ensure correct resource planning, meal production, and billing. Coordinate with internal departments to update flight information, confirm figures, and process accurate invoicing in compliance with client and company requirements.
Principal AccountabilitiesFlight & Schedule Monitoring
- Monitor daily flight schedules and identify any changes in departure times, routes, or aircraft configurations.
- Update flight details and meal figures in the system to align with the latest airline and operational requirements.
- Liaise with production, Customer account managers, and supervisors to communicate schedule changes.
- Record and update meal count totals per flight.
- Confirm final meal counts against airline specifications and client requirements.
- Adjust figures promptly for last‑minute changes to avoid under‑ or over‑catering.
- Process and confirm flight billing in SAP according to agreed contractual terms.
- Ensure all flights are billed accurately and timeously, reconciling discrepancies with operations and finance.
- Maintain accurate records of billed and unbilled flights for reporting purposes.
- Act as a liaison between operations, production, and logistics to ensure correct information flows between teams.
- Support the Operations Team Leader with operational data and reports.
- Maintain accurate and up‑to‑date operational records in SAP in compliance with internal controls.
- Adhere to Security, SHEQ, HACCP, and operational policies and procedures in all planning and system activities.
- Compile and submit daily, weekly, and monthly reports on flight schedules, meal counts, and billing.
- Highlight operational trends, irregularities, and areas for improvement.
- Assist with month‑end stock take and related SAP capturing.
- Perform any reasonable duties as instructed by the Operations Team Leader.
- Matric (Grade 12) – Essential
- Diploma or Certificate in Operations, Logistics, Supply Chain, Business Administration, or related field
- Minimum 3‑5 years’ experience in an operations, planning, scheduling, or administrative role, preferably within:
Aviation / In‑flight catering or Logistics or FMCG - Proven experience working with daily schedules, volumes, and deadlines
- Exposure to flight schedules, meal planning, or billing processes – Advantageous
- SAP Experience – Essential
- Proficiency in Microsoft Office Skills (Word, Excel, PowerPoint)
- Strong Numerical and analytical skills
