Our client is a fully integrated property development, investment and services company, focusing on providing end-to-end commercial real estate solutions at a national level.
The team in Cape Town is looking for a dynamic and experienced Commercial Property Manager who will be responsible for the management of building services; all mechanical, electrical, structural and civil aspects within a portfolio of commercial properties and a prominent student accommodation property. Your strong technical understanding (particularly Air conditioning), building compliance and technical maintenance is essential for this role.
Responsibilities- Building and People Management:
Conducting annual and bi-annual building audits to ensure proactive maintenance planning. - Conduct regular building and infrastructure inspections and train on site staff to maintain the property to agreed standards.
- Inspect all work authorised prior and after completion and approve invoices for payment to contracts.
- Compile specifications for work to be placed on tender or quotation and recommend contractors to be used.
- Project-mange work in progress until completion.
- Ensure that new tenant installations are completed within the provided time frame.
- Develop and maintain tenant and landlord relationships and ensure speedy resolution of complaints.
- Manage onsite building staff, i.e., handymen and outsourced cleaning and security contractors.
- General correspondence to keep Centre Management, Property Managers, building staff and tenants informed of work to be affected.
- Conduct regular building inspections to ensure that contracted services and work are effected as per service agreement.
- Attend monthly portfolio meetings with Regional Manager and Asset Managers to report on variations, outstanding and uncompleted work, work in progress and general items.
- Assist and/or guide Property Management and Building Staff with day-to-day maintenance related problems, leveraging experience at the properties.
- Conduct regular stock control of goods, material, consumables on the property.
- Ensure compliance with the Company Procurement Policy and other policies.
- Execute performance appraisals as and when required per company policy.
- Manage and maintain services contract audits on an annual basis or as required or requested.
- Ensure that office and building staff shortfalls with regards to training, performance and quality of work is continuously noted and discussed with management.
- Ensure that major expenses are effected as per budgeted date to avoid variances and to keep working budgets up to date.
- Compile and complete budgets regarding general expense provisions for all operational issues such as service contracts, electrical, plumbing, consumables, extraordinary expenses, and capital expenses.
- Conduct annual and bi-annual tenders of service contracts to ensure the company receives the best possible price and highest service.
- Investigate new products and technology in the market to improve quality and reduce existing expenses.
- Compile visual and cost-accurate reports or quotations to Asset Manager and Property Management for major expenses to be motivated and approved.
- Compile expense schedules, operating cost schedules, and national rates.
- Provide Asset Managers, senior Property, Regional and Asset managers with related reports when required.
- Attend monthly portfolio meetings with Regional Manager and Asset Managers to report on variations, outstanding and uncompleted work, work in progress and general items.
- Grade 12 and relevant technical qualification (Electrical, Construction, Property Studies, Facilities Management, etc.).
- Minimum of 7 years experience in Property Services / Facilities Management or Building Operations required.
- Solid understanding of maintenance planning and scheduling.
- Sound financial skills, including budgeting (Opex and Capex).
- Sound knowledge of building compliance and Health & Safety.
- Client centric with a strong emphasis on providing outstanding tenant and landlord experiences.
- Very strong communication and interpersonal skills.
- Solid administrative skills.
