Legal Secretary
Our client, a recognised leader in the logistics and supply chain industry across the Sub-Saharan region, is seeking an experienced and highly organised Paralegal to join their Cape Town team on a permanent, on-site basis. The ideal candidate will offer exceptional administrative, organisational, and communication skills, providing professional support to the in-house lawyer, business development teams, and compliance departments.
Key Responsibilities
Legal & Administrative Support
- Prepare, compile, proofread, and revise various legal documents, policies, reports, marketing material, and advisory notes.
- Maintain accurate daily record-keeping, including electronic and hard copy filing.
- Obtain relevant information from external agencies and organisations.
- Create and organise reference tools, databases, templates, and tracking systems.
- Respond to all case-related queries within required turnaround times.
- Provide effective administrative support to the Legal, Compliance, and Business Development teams.
- Ensure outputs conform to client styles, formats, and processes.
- Communicate professionally with clients, internal teams, and stakeholders.
- Identify opportunities to enhance service delivery and escalate recommendations appropriately.
- Attend to company compliance activities as required.
- Conduct preliminary high-level legal research when instructed.
Operational & Compliance Duties
- Administer and report on all legal matters related to contracts, litigation, company secretarial support, infringements, member disputes, and legal queries.
- Manage case and court file documentation.
- Liaise confidently with attorneys, legal consultants, and service providers.
Requirements
- Grade 12.
- Tertiary qualification:
Paralegal degree/diploma/certificate, or Bachelor’s degree in Law or related field. - 7–12 years’ experience in a legal environment, preferably as a senior paralegal or senior legal secretary.
- Strong analytical thinking with excellent time management and ability to perform under pressure.
- Advanced organisational skills and high attention to detail.
- Proficiency in Microsoft Office, Lexis Nexis, and scheduling software.
- Solid understanding of legal principles, compliance, corporate governance, legal collections, litigation processes, and document interpretation.
- Excellent written and verbal English communication skills.
- Ability to work independently and as part of a team.
- Stakeholder management experience.
- Experience with audio transcription advantageous.
- Knowledge of copyright, company, and labour law beneficial.
