The Position

Own the end-to-end lifecycle, requirements gathering, analysis, design, configuration, implementation, monitoring, and continuous improvement, of system-driven business process optimizations and automations across academic workflows (admissions/onboarding, assessments/proctoring, result release, graduation/certification etc.) with the goal of improving the speed, quality and compliance to policy for all stakeholders impacted by the processes including employees and Milpark students.

This role works in close partnership with academic and operational process owners, engaging directly with the teams responsible for existing workflows to understand current practices, pain points, and constraints. The Process Automation Lead translates human-led processes into well-designed, system-enabled workflows that reduce manual workload, remove friction, and improve clarity and accountability, while ensuring solutions are appropriately specified to meet the real operational needs of departments and individuals.

Outcomes (first 12 months)
  • A prioritized automation roadmap co-created with Academic, Registrar, EdTech and the Projects Office.
  • Operationalize agreed workflow solutions (e.g. exam/assessment support, result release, onboarding flows).
  • Observable, reliable automations with telemetry, SLA dashboards, structured error handling/rollback, and sustainable runbooks.
  • Security-by-design patterns in place (Key Vault secrets, Entra /role-based access, DLP governance, auditability) with POPIA-aligned processing.
  • Demonstrable cycle-time reductions, fewer manual touchpoints, and improved staff/student experience.
Responsibilities
1. Requirements & Analysis
  • Contribute meaningfully during requirements elicitation with Registrar, EdTech, Schools, Quality Assurance, and the Projects Office; map current vs. target-state processes, SLAs, controls and data flows.
  • Translate academic needs (e.g. proctored assessments, logistics, result release) into functional/non-functional requirements with clear acceptance criteria and test cases.
2. Solution Design & Architecture
  • Design pragmatic, scalable workflow automations using Microsoft cloud technologies, including, but not limited to, Power platform, SharePoint, Copilot and SQL server as well as custom APIs; include patterns for retries, compensation, idempotency, and observability; align to IT architecture and security standards.
  • Define robust integrations with Dynamics 365, SharePoint, SQL Databases and line of business applications, avoiding duplicate events and unnecessary plugin executions; ensure audit trails and data lineage across updates.
  • Specify non-functional requirements (availability, latency, throughput), logging/metrics, throttling, and graceful degradation.
3. Build & Implementation
  • Configure/develop Power Automate flows; implement connectors/custom connectors, expressions, and API calls (REST/JSON/OData); manage environments and connections.
  • Build SharePoint sites with appropriate access controls.
  • Implement secure secret management and connection strings via Azure Key Vault; enforce identity and access with Entra /RBAC and apply DLP policies to Power Platform solutions.
  • Implement ALM/CI-CD for Power Platform solutions using Azure Dev Ops; package and promote solutions across environments with appropriate approvals.
4. Monitoring, Operations & Continuous Improvement
  • Establish monitoring/alerting and capacity planning; tune automations for performance and reliability; manage incidents and post-incident reviews.
  • Use telemetry and user feedback loops to reduce failure rates and manual interventions; maintain runbooks and knowledge articles.
5. Governance, Risk & Compliance
  • Embed security-by-design and privacy-by-design (POPIA) across the lifecycle; partner with Info Sec, Infrastructure and Data teams on vulnerability, patching and access management.
  • Maintain documentation (solution/design specs, data flows etc. as required); support audits of automated academic processes.
  • Adhere to SDLC and engineering standards used by the Development function for consistency and quality.
