A National Diploma in Office Management Technology or a Bachelor's Degree in Administration or related qualification.At least two years' experience in administrative support involving secretarial responsibilities in a senior manager's office.Demonstrable capability in preparing reports for high-level meetings and developing material to support the decision-making process.Experience in a higher education environment, as well as working with project management software packages, will be a recommendation.Basic financial skills.Working knowledge of MS WORD, MS EXCEL and MS PowerPoint.Key Performance Areas / Principal Accountabilities
Support the SIP office with secretarial and admin functions.Supporting the office of the Director: SIP, taking responsibility for the coordination of projects emanating from the Director's work and position, general administration and secretarial functions.Working with the Director to develop a comprehensive workflow process for the SIP in the portfolio, such as research chairs, research focus area leaders, etc., and making sure that role players are identified and their responsibilities documented and clarified, issues identified and followed up.Supporting the Director: SIP, in drafting presentations, proposals, preliminary schedules and budgets and other needed resources.Proactively making sure that the interface between all stakeholders is kept alive through effective communication.Coordinating activities of the portfolio members to make sure targets are met within agreed-upon times. Maintaining the diary of the Director.Handling all administrative functions in the office of the Director, including: photocopying, emails, telephone calls, order of stationery for the department, stock taking, receiving visitors, and note-taking at meetings.Assist in travel arrangements for the Director.Competencies
