POSITION OVERVIEW- General office reception
- Log and prioritise maintenance requests received from clients on the ticket system.
- Schedule and coordinate maintenance appointments with clients, suppliers, and contractors.
- Communicate proactively with clients regarding project status and concerns.
- Request quotations from suppliers and contractors.
- Provide general support to the FM team.
- Office Operations
- Ensure smooth daily office operations and issue resolution
- Vendor and contractor management (cleaning, supplies, etc.)
- Administration & Support
- Timely document management, filing, and archiving
- Internal meeting and event support
- Process ad-hoc invoices and track payment progress on tracking sheet
- Order stationary for office and maintain stock sheet
- Track usage of office consumables for FM to replenish
- Office Operations
- Communication
- Response time to internal emails/requests
- Internal communication clarity and updates
- Timely attendance and reliability
- Any other reasonable instructions within the scope of works.
- High school diploma or equivalent
- Previous experience in a receptionist or customer service role preferred
- Excellent communication and interpersonal skills
- Professional and friendly demeanor
- Strong organizational and multitasking abilities
- Proficient in Microsoft Office and other computer skills
- Ability to work independently and as part of a team
- Attention to detail and accuracy
- Ability to handle multiple tasks and prioritize effectively
- Knowledge of office equipment and procedures
