POSITION OVERVIEW
  • General office reception
  • Log and prioritise maintenance requests received from clients on the ticket system.
  • Schedule and coordinate maintenance appointments with clients, suppliers, and contractors.
  • Communicate proactively with clients regarding project status and concerns.
  • Request quotations from suppliers and contractors.
  • Provide general support to the FM team.
    • Office Operations
      • Ensure smooth daily office operations and issue resolution
      • Vendor and contractor management (cleaning, supplies, etc.)
    • Administration & Support
      • Timely document management, filing, and archiving
      • Internal meeting and event support
      • Process ad-hoc invoices and track payment progress on tracking sheet
      • Order stationary for office and maintain stock sheet
      • Track usage of office consumables for FM to replenish
  • Communication
    • Response time to internal emails/requests
    • Internal communication clarity and updates
  • Timely attendance and reliability
  • Any other reasonable instructions within the scope of works.
REQUIREMENTS:
  • High school diploma or equivalent
SKILLS:
  • Previous experience in a receptionist or customer service role preferred
  • Excellent communication and interpersonal skills
SKILLS:
  • Professional and friendly demeanor
  • Strong organizational and multitasking abilities
  • Proficient in Microsoft Office and other computer skills
  • Ability to work independently and as part of a team
  • Attention to detail and accuracy
  • Ability to handle multiple tasks and prioritize effectively
  • Knowledge of office equipment and procedures
