Job Number:
- Provides administrative services and support for the Vice President and professional staff in the University Advancement Division, including scheduling meetings, maintaining electronic calendars, making travel arrangements, screening correspondence and telephone calls.
- Composes and produces business correspondence, reports, spreadsheets, meeting minutes and related materials.
- Undertakes responsibility for special assignments and projects on behalf of the Vice President for University Advancement.
- Ensures the timely and effective management of projects.
- Organizes and maintains electronic and paper files.
- Coordinates arrangements and provides support for special events.
- Accesses the advancement database system for information on donors and donor requests.
- Processes confidential information, ensuring such information is maintained in strict confidentiality.
- Expedites the flow of work through the office and initiates follow‑up action.
- Processes payables, reconciles, and monitors the Division budget.
- Oversees training, scheduling, and work assignments for student workers.
- Provides a professional and welcoming image for internal and external constituents.
- High school diploma or GED.
- Knowledge of Microsoft Office Word, Excel, Access, and PowerPoint.
- Outstanding administrative support skills, including complex calendars, travel arrangements, and donor meetings.
- Ability to work independently with minimum supervision while making informed decisions regarding priorities, resources, and challenges.
- Strong attention to detail, accuracy, and follow‑through in a fast‑paced, deadline‑driven environment.
- Exercise sound judgment and discretion in handling sensitive information, confidential communications, and high‑stakes decisions with diplomacy and tact.
- Strong interpersonal, verbal, and written communication skills.
- Demonstrated ability to handle multiple tasks with frequent interruptions while maintaining priorities.
- Demonstrated ability to maintain confidentiality with interactions, documents, and information.
- Demonstrated ability to interact with internal constituents, donors, alumni, volunteers, and community partners in a professional and service‑oriented manner.
