The available position is a clerical specialist in the Gastroenterology department.

Job Overview

The clerical specialist is responsible for the efficient operation and flow of patients throughout the practice. Duties include greeting incoming patients, answering telephones, scheduling appointments and referrals, collecting and updating patient information, handling insurance verification, and performing general office duties. The role works with the manager to coordinate front office functions and provide input for improvements.

Key Responsibilities
  • Answer incoming telephone calls and process appropriately; possess warm outgoing personality with excellent telephone etiquette.
  • Schedule office visits, surgery, and referrals.
  • Verify and collect patient demographic and insurance information.
  • Register patients into scheduling software; work with manager to develop and implement changes to improve scheduling efficiencies.
  • Collect co‑pays and patient payments.
  • Serve as Practice Management Super user for EMR, assist and train staff.
  • Prepare and mail new patient information prior to scheduled office visit.
  • Track physicians’ referrals and “no shows” on a monthly basis; report to manager.
  • Prepare and send patient correspondence in accordance with policy.
  • Maintain electronic medical record; scan information according to protocol.
  • Work in cooperation with the physician, practice team leader, and manager to develop and implement administrative policies.
  • Possess extensive knowledge of medical terminology.
  • Handle general administrative and clerical tasks.
  • Be skilled in computer applications like MS Word, Excel, and PowerPoint.
  • Skillfully handle multiple tasks and work under pressure.
  • Adhere to organizational policy and procedure.
  • Promote positive physician, organization, and community relationships.
  • Check e‑mails and online learning assignments on a regular basis.
  • Other duties as assigned.

Education, Training & Experience

Certification or diploma in Medical Office Administration/Assistant program or equivalent preferred. Medical front office experience preferred. Knowledge and experience in medical terminology. Coding experience preferred. Demonstrated skill in computer applications. High school graduate or equivalent. Must be computer literate to complete task(s) as required (e.g., Medi Tech, Halogen, Relias).

Physical Requirements
  • Able to stand/walk to various hospital departments intermittently through an 8‑hour shift.
  • Able to bend to reach items on the floor, desk level, and overhead.
  • Able to lift books and supplies weighing up to 25 lbs. intermittently.
  • Able to see clearly (with or without lenses) and hear normal speaking tones.
  • Able to communicate verbally interpersonally and over the telephone in a clear and concise speech.
  • Able to use hands for tasks (writing, typing, etc.).
