We are seeking a proactive, detail-oriented Member Services Associate & Executive Assistant to join our team. In this dual role, you will support both our Members and our leadership team by delivering exceptional member service and providing high-level administrative assistance to ensure a seamless experience.
Key Responsibilities Member Service & Support- Serve as a primary point of contact for member inquiries, assisting with onboarding, account changes, and portal access.
- Manage all aspects of new member paperwork including asset transfers, insurance and annuity forms, and brokerage changes.
- Handle money movements: wires, deposits, mobile check imaging, and internal tracking.
- Attend member meetings with the CEO; document action items, draft follow-ups, and ensure accountability.
- Schedule appointments, answer calls, and maintain ongoing member communication.
- Educate members on digital tools (eSignature, dashboards, portals).
- Maintain CRM data integrity and ensure timely documentation.
- Provide day-to-day administrative support to the CEO, including calendaring, prep for meetings, and travel/event planning.
- Prepare member meeting materials: investment reports, insurance summaries, and supporting documentation.
- Maintain member databases, organize files, and manage onboarding kits and personalized member touchpoints (e.g., birthday cards).
- Support social media, TV prep, and marketing initiatives.
- Assist with internal team meetings and member event planning.
- Ensure all member documentation is complete, accurate, and meets regulatory standards.
- Perform necessary authentication and callbacks for sensitive transactions.
- Follow firm and industry rules, regulations, and best practices.
- Schwab custodial platform experience is required (Fidelity or Vanguard experience will be strongly considered as equivalent).
- Orion and/or Redtail CRM experience strongly preferred
. - Bachelor’s degree or equivalent experience in financial services (preferred).
- Exceptional verbal and written communication skills.
- Outstanding attention to detail, organization, and time management.
- Tech-savvy with the ability to quickly master new platforms and tools.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- True team player with a genuine member-first mindset and positive, can-do attitude.
Salary: $80,000+ based on experience
