Job Summary

Conducts all activities related to admission, progression and graduation; maintains all student/participant records; facilitates recruitment activities; supports continuing education activities.

Position Responsibilities
  • Coordinates/participates in the recruitment of students to the School of Nursing.
  • Ensures currency of admissions related information on educational program web sites.
  • Tracks participation in and response to recruitment activities.
  • Develops promotional/recruitment materials that reflect educational program activities and initiatives.
  • Conducts all activities related to the admission process for the School of Nursing.
  • Notifies applicants of the decision rendered by the Admissions Panel.
  • Coordinates pre-entrance activities for the School of Nursing.
  • Schedules and conducts registration for OLOLSON students.
  • Obtains completed health records and all pertinent documents necessary to complete students’ files.
  • Collects, records, and deposits all application and placement fees.
  • Deposits OLOLSON application and placement fees into the SON account and submits income summary to Dean every 6 months.
  • Maintains all records pertaining to student progress, registration, billing, financial aid and graduation in the educational program.
  • Maintains student/participant records required by regulatory organizations.
  • Determines students’ GPAs at the completion of each semester.
  • Generates transcripts from electronic data base(s) upon request.
  • Maintains updated student academic and personal information in the electronic database(s).
  • Enrolls or removes registered students into the electronic database(s) and learning management system promptly each semester.
  • Corresponds with students regarding progression and graduation in a timely manner.
  • Sends complete student information to Registrar Offices of academic partner as required.
  • Monitors student compliance with financial responsibilities.
  • Provides information to students related to financial aid resources.
  • Serves as liaison to academic partners regarding admission, progression and graduation issues.
  • Performs activities necessary to the operation of the School of Nursing.
  • Maintains Retention/Attrition data.
  • Fulfills committee responsibilities as indicated by the Faculty Organization Bylaws.
  • Maintains electronic database(s) and generates statistical reports as directed.
  • Utilizes effective written and oral communication skills.
  • Participates in orientation activities.
  • Maintains monthly totals of clinical hours generated by students and forwards to accounts payable department.
  • Coordinates and attends Open House and Information sessions as directed.
  • Advertises Open House and Information Sessions to targeted populations and organizations through appropriate venues (local newspapers, online media, Camden County College, hospital, etc.).
  • Ensures currency and availability of printed materials.
Position Qualifications Required
  • 5+ years of experience.
  • Knowledge of student database system.
  • Detailed understanding of federal and state higher education laws and regulations.
  • Understanding of the federal and state financial aid system (FAFSA, Scholarships, HESSA, Federal Grants, Federal aid for Military families and Federal Loan programs).
  • Oversight of the use of training additional staff in the use of the Castle Branch student monitoring system.
  • Excellent communication and organizational skills; ability to resolve issues and apply critical thinking to problem-solving and process enhancement, and the skill set necessary to interact with the professional staff and various representatives with the student liability insurance carriers.
  • Ability to work independently.
  • Attention to detail and accuracy is critical to success.
  • Ability to work under pressure and adhere to strict deadlines.
Required Education

BS preferred.

Training / Certification / Licensure
  • Working Knowledge of Nursing practice.
  • Working Knowledge of Grad Pro.
  • Working Knowledge of Castle Branch.
  • Working Knowledge of Federal and State financial aid system.
  • Computer skills – Windows based – Word and Excel.
  • Organizational skills – Time management.
  • Above average communication skills.
