About This Role

The Executive Assistant supports two executives: the VP for Pharma CMC and Regulatory and the VP for Biologics CMC Development & Regulatory. These leaders oversee global organizations comprised of both lab-based and office-based employees, operating across time zones and within highly technical development environments. The role plays a pivotal part in ensuring the seamless operation of the leadership office, managing complex calendars, coordinating high-impact engagements, and fostering proactive communication across the organization.

As a key member of the team, you will collaborate closely with the Strategy & Operations Lead, support leadership forums, and drive strategic initiatives. You will act as a central point of contact for stakeholders across Biogen and externally, ensuring consistency and connectivity in enterprise-wide activities.

This is a hybrid-based role at our Headquarters in Cambridge, MA, requiring regular office presence.

What You’ll Do
  • Manage the VPs’ complex, global calendars, prioritizing internal and external engagements to optimize leadership effectiveness.
  • Prepare and execute Pharma and Biologics Leadership Team meetings, governance forums, and employee engagement events, including logistics, agendas, and follow-up actions.
  • Partner in the planning and execution of in-person leadership strategic sessions, coordinating venue, agenda, materials, participant communications, and follow-up actions.
  • Draft, review, and manage executive communications, ensuring timely correspondence and effective briefings.
  • Coordinate detailed domestic and international travel plans and process expense reports in compliance with company policies.
  • Maintain organizational documents, including org charts, distribution lists, and SharePoint sites, while supporting onboarding of new leaders.
  • Collaborate with cross‑functional teams to facilitate workflows and align on priorities.
  • Work closely with other Executive Assistants across Biogen to ensure alignment and consistency in scheduling, communications, and major events.
  • Monitor and triage emails, ensuring critical matters are prioritized and addressed effectively.
  • Support strategic initiatives and foster connectivity across the Pharma and Biologics teams and the broader organization.
  • Anticipate needs and proactively address challenges to maintain smooth operations.

Required Skills
  • A minimum of 3 years of experience (7 preferred) supporting senior executives in fast‑paced, high‑visibility environments, preferably within life sciences, operations, or technical functions.
  • Demonstrated ability to collaborate across functions and work effectively with multiple executive stakeholders.
  • Strong organizational skills with the ability to manage competing priorities and anticipate needs.
  • Experience coordinating enterprise‑wide governance processes and major organizational events.
  • High level of discretion and ability to handle sensitive matters with integrity.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Teams), Concur, Zoom, and collaboration platforms such as SharePoint.
  • Exceptional written and verbal communication skills, capable of drafting professional correspondence and executive‑ready materials.
  • Strong relationship‑building skills to foster collaboration across diverse teams.
