The Facility Reservations Coordinator is responsible for coordinating Camarillo Library facility reservations from start to finish. This includes serving as the main point of contact for reservation inquiries, processing applications and required documents, collecting fees and payments, preparing reservable spaces for events, providing day-of support, completing post-event inspections, and supporting deposit/refund documentation in alignment with City policies and procedures.
Employment Type: Part-time
Schedule: 20 hours per week
Pay Rate: $18.00 per hour
- Respond to reservation inquiries (phone/email/in person), explain availability, fees, rules, setup options, and schedule walkthroughs when needed.
- Review and process applications, place holds, collect/track required documents (insurance, agreements, vendor info, business license if applicable), and keep the Reservation System and files current for City review.
- Provide fee breakdowns, take payments, issue receipts, and send tentative/final confirmations once requirements are met.
- Prepare the room in the approved standard layout, provide tables/chairs per policy, coordinate approved equipment access/AV basics, and help coordinate special requests and after-hours security scheduling.
- Inspect the space after events, document any issues with notes/photos, support deposit refund/withholding documentation for City review, coordinate next steps for damages if needed, restore the room to standard condition, and enforce facility protection rules.
- Customer service/administrative/event coordination experience preferred; comfort handling documentation and payments/cashiering a plus.
- Strong communication, organization, and follow-through; ability to manage multiple reservations and deadlines; able to learn/apply policies consistently; basic comfort assisting users with AV/equipment.
- Able to assist with room setup/teardown (moving tables/chairs); may include occasional evenings/weekends based on event schedules.
