Job Description

Event Manager at Robert Young Estate Vineyards & Winery, Geyserville, CA. Robert Young Estate Winery is a luxury, 448-acre family-owned estate in Alexander Valley, seeking an experienced Event Manager to drive luxury event revenue on the estate. The winery offers opportunities for a seasoned event professional to develop partnerships with luxury hotels, resorts, DMCs, and high-end clients. The Event Manager will work autonomously for prospecting, selling, booking contracts, and tracking financial results.

On event days, the in-house team supports execution, with involvement from the family and winemaker to elevate the client experience. The ideal candidate is creative, customer-focused, and capable of managing business needs with minimal oversight."

Responsibilities
  • Manage the end-to-end sales cycle, including prospecting, site visits, tastings for potential clients, proposal creation, contract negotiation, closing, and execution.
  • Drive event bookings through targeted outreach to event planners, Destination Management Companies (DMCs), corporate clients, and hospitality partners; nurture relationships with existing customers and community leaders; explore new channels to grow event revenue.
  • Sell and secure corporate, trade, and consumer events to meet or exceed quarterly and annual revenue targets; oversee approximately 5 internal RYEW events for members (e.g., pick-up parties, annual member dinner, occasional after-hours events).
  • Prepare customized proposals detailing design, schematics, timeline/itinerary, services, food and beverage, and staffing.
  • Maintain clear and timely communication with clients; respond to inquiries within 24 hours and handle concerns or last-minute changes professionally.
  • Partner with the client’s Event Specialist to optimize events and ensure client visions are captured and executed, exceeding expectations.
  • Communicate event bookings and details with internal team members; follow up post-event to ensure satisfaction and encourage repeat business and referrals.
  • Utilize computer applications; proficiency in Excel and Word required. Experience with Wine Direct Admin/POS, Red Chirp, and Tock preferred.]
  • Develop annual event sales strategy, including market analysis, competitive positioning, and growth forecasting; explore new channels to leverage winery assets for event market growth.
  • Develop, manage, and stay within annual ROI goals for events; monitor expenses and perform ROI analyses to ensure profitability; deliver monthly reporting to winery leadership on ROI, financial performance, sales pipeline, and trends.
Partnership Development
  • Expand high-value partnerships with luxury resorts, boutique hotels, transportation companies, DMCs, and corporate groups; work with the Events Specialist and DTC team to drive referral business and complementary partnerships.
  • Create programs that drive high-value corporate and luxury group events to RYEW, including immersive experiences on the estate.
  • Develop strategic vendor partnerships and negotiate costs with preferred suppliers to optimize profitability.
  • Represent RYEW at industry events and community endeavors; availability to attend off-site networking events.
Qualifications
  • 2+ years of proven success in corporate/group event sales and business development within luxury hospitality, wineries, or destination venues, with a strong focus on high-end clientele.
  • Track record of meeting/exceeding revenue targets and managing event budgets; financial acumen for ROI tracking and profitability management.
  • Established network of DMCs, corporate event planners, and luxury resort contacts; knowledge of Sonoma/Napa luxury resort markets.
