Pay: $19-$21 per hour
Reports To: Executive Director & Deputy Director
Part-Time (16 hours/week)

Position SummaryThe Administrative Assistant supports daily organizational operations, ensuring efficient office systems, responsive communication, and accurate donor and volunteer records. This role provides administrative, volunteer database, and development support while serving as a welcoming and professional presence in the office.
Key Responsibilities Office & Administrative Support- Monitor and manage the organization’s general email and phone line
- Process incoming mail, log and scan checks, and maintain digital files
- Prepare bank deposits and maintain accurate Money Received Log records
- Maintain office supplies, organization, and front office support
- Greet visitors and assist with in-person donations
- Review and approve volunteer registrations
- Update volunteer records, payments, waivers, and compliance documentation
- Maintain training, fingerprinting, and required forms
- Provide basic troubleshooting and volunteer support
- Enter and maintain donation, grant, and sponsorship records
- Download and reconcile reports from giving platforms
- Update donor database records and soft credits
Support preparation of thank-you letters, mailings, sponsorship materials, and donor appreciation efforts
- Prior administrative or office support experience preferred
- Strong organizational skills and attention to detail
- Experience with databases, Google Workspace, and Microsoft Office
- Ability to manage multiple priorities independently
- Strong written and verbal communication skills
- Professional, customer-service oriented approach
- Ability to maintain confidentiality
- Successful completion of background investigation
- 16 hours per week (9:30 am - 1:30 pm Monday, 11:00 am - 3:00 pm Tuesday through Thursday; some flexibility)
- Occasional additional hours during peak seasons or events
