We are seeking an Administrative Support (AS) professional to provide comprehensive administrative support services across the Office of Space Launch (OSL) enterprise. This role is located at Vandenberg Space Force Base, CA, and supports managers, offices, and functional teams by delivering reliable, responsive, and customer-focused administrative services in accordance with NRO policies, procedures, and operational priorities.
The Administrative Support professional establishes and maintains effective working relationships with customers and stakeholders both internally and externally. This role is essential to ensuring efficient office operations, effective communication, and continuity of business activities across the OSL enterprise.
Key responsibilities include but are not limited to the following:
- Provide day-to-day administrative support across the OSL enterprise, including office administration, calendar and meeting management, clerical services, travel coordination, visitor support, and records management.
- Manage and maintain schedules of appointments and meetings for managers, offices, and functions based on Government-established priorities, ensuring accurate coordination and timely execution.
- Track the status of incoming and outgoing correspondence and action items, passing and receiving clearances, preparing access lists, managing office file plans, and maintaining document archiving in accordance with NRO records management requirements.
- Coordinate and process travel arrangements, training requests, POV vouchers, and related documentation for managers and staff.
- Support visitor and guest escorting, conference room management, and meeting support, ensuring meeting spaces and equipment are properly functioning and ready for use.
- Plan, schedule, organize, and execute meetings, conferences, site visits, and off-site events, including preparing and disseminating presentation materials and background information to stakeholders and attendees in a timely manner.
- Assist new employees by ensuring phones and voicemail are operational upon arrival, adding personnel to required email distribution groups and directories, and facilitating onboarding administrative requirements.
- Coordinate office supply ordering, manage office equipment repair requests, and perform backup administrative duties for other offices within the directorate as needed.
- Produce, coordinate, and publish documents such as instructions, spreadsheets, presentations, and reports, monitor office and manager telephones, and maintain and update knowledge management tools, enterprise systems, databases, and spreadsheets.
- Prepare and disseminate information to appropriate individuals and offices and evaluate, propose, and implement innovative administrative processes to improve efficiency and effectiveness of support services.
- Participate in meetings and events as a recorder or working member and may brief or present administrative support-related information.
- Prepare weekly status reports on action items and initiatives, assist or serve as a focal point for assigned programs or processes, and perform action officer duties for oversight, monitoring, and reporting on task completion.
- Support the OSL Director’s Action Group (DAG) and perform MAT Program Management Coordinator (PMC) tasks as required, while ensuring compliance with NRO regulations, policies, and procedures.
Required Qualifications
