Position: Donor Data & Systems Specialist – Full Time

Monday to Friday | 37.5 hours per week. Reporting to the Director of Philanthropy, with a functional relationship to the Finance team, the Donor Data & Systems Specialist is responsible for the integrity, accuracy, and strategic use of donor and fundraising data across the organization that drives effective fundraising, donor stewardship, and organizational decision‑making.

Responsibilities
  • Maintain and continually improve high standards of accuracy, structure and cleanliness across all donor and constituent records.
  • Monitor database health, identify data inconsistencies or gaps, and implement ongoing cleanup initiatives.
  • Develop and maintain data integrity policies, workflows, and validation rules.
  • Optimize database architecture, fields, tables, and coding systems to support efficient reporting and segmentation.
  • Prepare regular and ad hoc reports for fundraising performance, trends, stewardship, and forecasting.
  • Build queries, exports, dashboards, and analytics to support campaigns, appeals, donor journeys, and leadership decision making.
  • Provide insights into donor behaviour, retention, revenue patterns, and data trends.
  • Support forecasting, segmentation strategy, and the evaluation of fundraising initiatives.
  • Enhance and document processes, automation, and efficiencies within Raiser’s Edge NXT.
  • Troubleshoot database challenges and act as the inhouse subject matter expert.
  • Support staff training on data entry standards, query usage, reporting tools, and database best practices.
  • Build complex queries, segmentation lists, and exports for appeals, stewardship, and events.
  • Work closely with the Finance team to support month end reconciliation and ensure alignment of revenue data.
  • Conduct light prospect research using ethical and publicly available sources.
  • Support pipeline development for major gifts, midlevel giving, and planned giving.
  • Prepare briefings or summaries as needed to support gift officers.
  • Assist in identifying potential donors based on giving behaviour and engagement patterns.
  • Assist with fundraising initiatives as needed, including providing onsite logistical or data support for CHS events and third‑party fundraising.
  • Provide donor customer service via phone and email regarding receipts, donor records, and general inquiries when required.
  • Collaborate with staff and volunteers supporting data entry or fundraising operations.
  • Occasionally assist with Animal Care duties when extra support is required.
  • Perform other duties that support the Philanthropy team and the broader mission of Calgary Humane Society.
Education & Experience
  • Advanced experience with Blackbaud Raiser’s Edge NXT or similar fundraising CRM, including queries, exports, dashboards, and workflow design required.
  • Strong analytical skills with proficiency in Excel or similar tools for data manipulation and reporting.
  • Ability to translate data into insights and communicate findings clearly.
  • Relevant degree or diploma (fundraising, nonprofit management, information systems, business analytics, or related field) considered an asset.
  • At least 2 years of experience in a fundraising, data management, or donor services environment is an asset.
  • CFRE designation or other relevant certifications considered an asset.

  • Physically capable and comfortable handling a variety of animals when required.

Additional Requirements
  • Flexibility to attend events outside normal working hours when required, including evenings and weekends.
