Communications Administrator, Postgraduate Medical Education
University of Calgary – Full‑time temporary relief position (≈13 months) in the Office of Postgraduate Medical Education (PGME), Cumming School of Medicine.
Key Responsibilities Communications and Relationships- Effectively communicates relevant information to PGME and stakeholders.
- Enhances relationships with existing stakeholders and develops new stakeholder relationships within the community.
- Collaborates with the CSM Communications team to advertise and promote activities.
- Contributes to internal communication projects including messaging from PGME leadership, website, e‑newsletters, electronic monitors, print publications, events, podcasts and video production as needed.
- Provides input to the development of communication plans with internal/external partners for specific project‑based initiatives and coordinates their implementation.
- Promotes collaboration and knowledge translation with internal and external members at every opportunity.
- Manages and maintains the digital communication channels, including the PGME website and SharePoint pages.
- Supports PGME website development, including re‑design and implementation of new platforms as necessary.
- Utilizes social media platforms to promote PGME and initiatives to build the brand and reputation of PGME.
- Creates, distributes and provides metrics for requested surveys and evaluation tools.
- Supports creation of analytic reports related to social media platforms and web traffic.
- Prepares evaluation reports for delivery to PGME Leadership, collaborators and relevant stakeholders.
- Oversees development of the PGME Annual Report.
- Supports projects as delegated by the PGME Manager of Administration, including annual PGME staff retreat, PGME PD/PA retreat, resident orientation, visiting speakers, etc.
- Supports the objectives of the PGME Awards subcommittee, including collating award data, writing winner announcements and developing speaking notes or other communications as deemed appropriate.
- Develops invitation lists and coordinates invitation, RSVP process and marketing materials.
- Oversees design, printing and delivery of printed materials and signage as required.
- Collaborates with the PGME Administration team to provide coverage and role support as required.
- Minimum of 3 years’ experience in Postgraduate Medical Education.
- Post‑secondary diploma/degree in Communications, Marketing, Journalism or Public Relations is an asset.
- Advanced interpersonal, organizational and time‑management skills with the ability to set priorities and meet constant, shifting deadlines.
- Ability to work independently, exercising initiative and good judgment; strong teamwork and initiative required.
- Excellent verbal and written communication skills across departments.
- Superior understanding of social media platforms and web.
- Highly developed organizational, analytical and problem‑solving skills.
- Proficient knowledge of MS Office programs.
- Experience with Website Content Management (Drupal 8 and Live Whale).
- Excellent proofreading, writing/editing skills for a variety of platforms.
- Demonstrated professionalism, tact, judgement and attention to detail with a high degree of accuracy.
- Ability to operate within a complex, multi‑faced work environment and be a strong team player.
- Experience with photography, videography and media editing software is an asset.
- Knowledge of design and production software such as Adobe InDesign, Illustrator and Photoshop is an asset.
- Flexible in evolving duties and expectations.
