The Team Manager, leads a diverse team responsible for delivering high‑quality Print Services, Porter Services, Catering Deliveries, Mailroom Services, and Reception Services. This role ensures operational excellence, team development, exceptional client service, and adherence to service level agreements (SLAs). The Manager oversees daily workflows, coordinates vendor activities, ensures safety and compliance, and drives continuous improvement across all service streams.

The ideal candidate is an organized, client‑focused, and proactive leader capable of managing multi‑pronged operational functions while fostering a high‑performing and engaged team culture.

Key Responsibilities 1. Leadership & Team Management
  • Provide daily leadership, coaching, and support across all service lines.
  • Establish clear expectations, manage performance, and ensure SLA alignment.
  • Conduct regular check‑ins, performance reviews, and development planning.
  • Foster a culture of accountability, safety, teamwork, and continuous improvement.
  • Manage staffing schedules, cross‑training, and workload distribution.
2. Service Operations Oversight

Oversee the delivery and continuous improvement of the following operational services:

  • Reception Services: Front‑of‑house service excellence, visitor management, meeting room coordination, call handling, and adherence to security and service standards.
  • Print Services: Intake and coordination of print jobs, end‑user consultation, vendor management (e.g., Ricoh/WC), quality assurance, cost management, and reporting.
  • Catering Deliveries & Events: Coordination of food and beverage service, room setup/reset, partnership with Event Specialists, and maintaining best practices in hospitality operations. Inventory management for kitchens and conference areas, event setup, and adherence to food safety and sanitation protocols.
  • Facilities Services provides coordinated support for office moves, ensuring clients have the resources and guidance needed for a smooth transition. Work closely with clients to schedule move activities, support the movement of items, and ensure offices are set up safely and efficiently in their new configuration.
  • Mailroom & Shipping Services: Incoming/outgoing Canada Post mail, courier shipments, interoffice mail, vendor coordination, cost management, and reporting.
3. Operational Excellence & SLA Management
  • Ensure all service areas meet or exceed SLA and performance targets.
  • Develop and track KPIs across service lines; identify trends and implement improvements.
  • Respond to and resolve escalations promptly and professionally.
  • Maintain compliance with safety, security, and organizational standards.
  • Oversee documentation, SOPs, and staff training across all operations.
Qualifications & Requirements
  • 3–5+ years in operations, facilities, hospitality, or service management.
  • Proven experience managing diverse teams and service functions.
  • Strong client service, communication, and interpersonal skills.
  • Experience with vendor management and negotiation.
  • Strong organizational and analytical abilities.
  • Ability to multitask in a fast‑paced environment.
  • Food safety certification (or willingness to obtain).
  • Ability to support occasional physical tasks such as lifting or moving items.
