Position Summary

Join a dynamic healthcare team in Calgary where your attention to detail, compassion, and organizational skills will directly impact patient care. As a Medical Office Assistant MOA, you'll be at the heart of creating seamless and meaningful experiences for patients ensuring the right information reaches the right provider at the right time.

Duties and Responsibilities Patient Experience & Frontline Interaction
  • Create a welcoming office environment; greet patients and guests both in person and on the telephone.
  • Check in patients, take measurements, ensure forms are completed, and room patients.
  • Clean and prepare treatment rooms.
  • Check out patients and encourage repeat business; facilitate online booking.
Information & Records Management
  • Monitor and download incoming faxes/scans; link documents appropriately.
  • Respond to practitioner EMR messages.
  • Enter X-ray requisitions; contact patients for appointments and referrals.
Scheduling & Referral Coordination
  • Conduct outbound calls for booking referrals.
  • Reschedule patients as needed; triage external referrals.
  • Facilitate continuity of care by booking additional services.
Administrative & Operational Support
  • Provide administrative support to management and staff.
  • Expedite clinic flow by billing and accepting payments.
  • Maintain supply of forms and clinic tidiness.
  • Handle incoming phone calls and emails.
Process Improvement & Compliance
  • Contribute to corporate sustainability by documenting and updating role processes.
  • Ensure compliance with internal procedures and support best practices in patient care and office operations.
Knowledge
  • Privacy legislation relevant to healthcare and business operations.
  • Occupational Health and Safety (OHS) and Infection Prevention and Control (IPAC) policies.
Skills
  • Verbal, auditory, and written communication with professionalism across channels.
  • Interpersonal skills with adaptability to different personality types.
  • Organization and attention to detail in patient experience and data management.
  • Awareness and competency in achieving key performance indicators (KPIs).
  • Technological proficiency with EMR, CMS, office equipment, and Microsoft Office suite. As well as other systems used in the clinic, including but not limited to those for payment, POS and scheduling.
