Join a Growing Team That’s Modernizing the Real Estate Legal World

At Property Law Firm CB LLP, we’re redefining what client service looks like in real estate law. Our goal is simple: make the experience faster, clearer, and far less stressful, for clients and for our team. We partner with leading real estate law firms across Canada and are building a modern, people‑first workplace where smart ideas and great service truly matter.

You don’t need a background in law to succeed here. What you need is a genuine passion for customer service, a sharp eye for improving systems, and the confidence to take ownership of the client experience.

If you’re the kind of person who naturally spots inefficiencies, has strong opinions on how customer service should work, and has experience guiding or mentoring others, you may be exactly who we’re looking for.

Client Care Specialist

This is more than a reception or admin role. As our Client Care Specialist
, you’ll be the first point of contact for clients and a key driver of how our service is delivered. You’ll play a hands‑on role in day‑to‑day operations and help us continuously improve how we communicate, triage requests, and support our legal team.

You’ll work closely with the Business Development Manager and Client Care Manager and act as a steady, confident presence for both clients and internal teams. This role is ideal for someone with strong customer service instincts, leadership traits, and a desire to modernize processes through automation and smart systems.

Client Experience & Front Desk Leadership
  • Welcome and assist clients and visitors with warmth, professionalism, and confidence
  • Act as the face and voice of the firm, setting the tone for every client interaction
  • Ensure the reception area is organized, professional, and client‑ready at all times
Call Management & Client Triage
  • Professionally manage a high volume of incoming calls
  • Confidently assess, prioritize, and route inquiries to the appropriate team members
  • Identify urgent matters and ensure timely follow‑up and resolution
  • Continuously suggest improvements to call flow and client communication processes
Administrative & File Support
  • Help clients understand and complete the process of engaging services and getting their file started with accuracy and care
  • Prepare estimates and make clients feel confident in moving forward with us
  • Manage incoming and outgoing mail, couriers, and correspondence
Systems, Process & Modernization
  • Identify opportunities to streamline and automate client care and administrative workflows
  • Share ideas and opinions on how to improve the client journey and internal systems
  • Support the implementation of better tools, templates, and processes
  • Demonstrate leadership traits by supporting, guiding, and collaborating with teammates
  • Act as a reliable point of escalation for basic client or workflow issues
  • Contribute positively to team culture and help set service standards
What We’re Looking For Must‑Haves
  • A true passion for customer service, this is non‑negotiable
  • Minimum 2 years of experience in a customer‑facing administrative or client care role
  • Strong communication skills (written and verbal)
Highly organized, detail‑oriented, and calm under pressure
  • Ability to multitask, prioritize, and problem‑solve independently
  • Experience leading, mentoring, or informally guiding others
  • Confidence in suggesting improvements and voicing ideas
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
Nice‑to‑Haves
  • Experience in legal, real estate, or professional services (an asset, not required)
  • Exposure to process improvement, automation tools, or workflow systems
  • Office Administration certification or similar training
Why You’ll Love Working Here
  • A modern, fast‑growing firm that values innovation and people
  • Real opportunities to influence systems, processes, and client experience
  • Supportive leadership that welcomes ideas and initiative
  • A culture built on Consistency, Communication, and Culture
  • A role where you can grow into greater responsibility and leadership
How to Apply

If you’re someone who takes pride in delivering exceptional service, thrives on improving how things work, and wants to be part of a modern legal team, we’d love to hear from you.
