Responsible to coordinate new and replacement equipment and service contracts for Calgary Co-op and its wholly owned subsidiaries. Provide support to obtain the best service and pricing for all equipment purchases and service contracts.

RESPONSIBILITIES

Primary responsibilities include, but are not limited to:

  • Proactively build and maintain relationships with internal operations clients and external suppliers to obtain the best service and pricing available.
  • Annual audit of vendor service level satisfaction with internal clients.
  • Tendering of new, existing contracts and expiring contracts. Responsible for compiling and issuing tender packages, negotiating, and providing recommendations on contract agreements, and auditing, monitoring and evaluating the division’s fiscal practices activities and legal requirements.
  • Ensure that procurement activities meet legal and professional standards, internal requirements related to quotes and tendering regulations and ethical practices regarding purchase orders and transfer and sales of surplus items.
  • Coordinate service contracts including setting performance standards wherever possible. Aligning contracts for all lines of business application and overall cost benefits.
  • Expand sources of trades and equipment suppliers and to pro-actively demonstrate and feature improved sourcing/products to internal customers.
  • Investigate new processes to improve longevity of assets / minimize costs, possibly with involvement of outside consultants.
  • Maintain inventories of surplus equipment and utilize surplus equipment where possible. Responsible for obtaining positive financial results from disposal of surplus equipment wherever possible.
  • Develop the use of self-service procurement and other on-line sourcing options.
  • Maintain preferred supplier trade directory.
  • Maintain equipment inventory tracking
  • Audit vendor billings for accuracy and terms.
  • Maintain master equipment lists for commodities, inclusive of smallware’s.
  • Review and authorization of vendor invoices.
  • Inform finance for asset disposal and equipment transfers.
  • Provide “all in” costing for major equipment and capital planning requirements.
  • Follow all Calgary Co-op Policies and Procedures.
  • Prepare and submit reports to finance for the transfer, sale and/or disposition of any equipment removed or disposed from all Calgary Co-op facilities.
  • Coordinate and collaborate with the Construction Project Team and Design manager for all equipment required for the project.
  • Attend operational Project and Committee meetings Participate in the development and action of yearly competency performance work plan(s) and development action plan(s).
  • Provide leadership in the areas of Health, Safety and Environment (HSE), including participate in HSE activities, ensuring employees are knowledgeable about and comply with HSE policies, procedures and legislation, assist in identifying unhealthy, unsafe situations and ensure corrective action is taken.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS (Includes Education)
  • Two years’ experience in equipment procurement.
  • Able to read and understand project plans and drawings.
  • Post secondary degree or diploma from a recognized institution.
  • Strong organizational and decision-making skills. Proficient Microsoft Office Suite skills
  • Knowledge of retail store equipment and refrigeration systems are an asset.
