This role is integral to the successful development and execution of competitive EPCM proposals. Working closely with the Proposal Manager, engineering subject matter experts, and the Business Development team, the coordinator will support the preparation of high-quality technical and commercial submissions while also contributing to client-facing initiatives and industry events. The position combines proposal coordination and technical writing with business development support and client engagement activities.
Key ResponsibilitiesProposal & Bid Development (Primary Focus)
- Partner with the Proposal Manager to support bid strategy and execution for RFPs, RFQs, and EOIs
- Coordinate proposal timelines, compliance requirements, and submission schedules
- Lead development and refinement of technical proposal content in collaboration with engineering teams
- Prepare, edit, and format technical narratives to ensure clarity, consistency, and alignment with client requirements
- Maintain and update proposal templates, project profiles, resumes, and technical experience documentation
- Support development of compelling executive summaries and differentiators
- Track proposal metrics including win/loss data and continuous improvement opportunities
- Technical writing experience within EPCM, engineering, or energy infrastructure environments is required.
Business Development & Client Engagement
- Work closely with the Business Development team to support pursuit planning and client engagement strategies
- Participate in client meetings, industry functions, and networking events as required
- Assist in preparing client presentations and marketing materials
- Support relationship-building initiatives aligned with target markets and strategic growth areas
Events & Industry Engagement
- Support coordination and scheduling of client-facing events, industry tradeshows, and corporate hospitality initiatives in collaboration with the Business Development team
- Assist Business Development leadership in aligning select events with company growth objectives
- Provide logistical and administrative support for events as required to ensure strong brand representation
Marketing & Communications Support
- Support development and maintenance of proposal templates and sales collateral
- Build and format client-facing presentations to support the Business Development team
- Assist with preparation of pursuit-specific marketing materials as required
- Post-secondary education in Technical Writing, Marketing, Communications, Business, or a related field is required
- Minimum 5 years of experience in proposal coordination, bid management, or business development within an EPCM, engineering, or energy services environment
- Demonstrated experience supporting technical proposal writing and editing
- Strong understanding of RFP processes within oil & gas or energy infrastructure markets
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and Adobe Creative Suite (InDesign preferred)
- Ability to manage multiple deadlines in a fast-paced, collaborative environment
- Ability to work outside of normal working hours to ensure deadlines are met
