Job Summary

Reporting to the Manager, Operations, the Operations Analyst - Governance, Licensing & Business Continuity supports centralized operations across UFA’s network. The role supports operational processes, maintains documentation and records, prepares reports, and collaborates with internal and external stakeholders to ensure smooth day‑to‑day operations.

Responsibilities
  • Analysts aligned to this specialty focus on governance, documentation lifecycle management, licensing coordination, and business continuity support.
  • Manage and maintain Operations intranet content, ensuring information is accurate, current, accessible, and aligned with governance standards.
  • Capture and document operational changes, updates, and improvements, ensuring timely communication and SOP alignment.
  • Own the lifecycle management of operational documents and Standard Operating Procedures (SOPs), including creation, review, approval, retention, and archival.
  • Implement document management practices that support audit readiness, regulatory compliance, and business continuity.
  • Ensure accurate recordkeeping and traceability for operational documentation in accordance with organizational and regulatory requirements.
  • Coordinate and manage business and product licensing across municipal, provincial, and federal jurisdictions.
  • Manage licensing and renewal requirements for restricted and regulated products (e.g., pesticides, herbicides, petroleum products).
  • Serve as the primary operational contact for audits, inspections, and regulatory inquiries related to licensing and governance.
  • Support general operational processes by coordinating activities, resolving issues, and facilitating communication among internal teams and external partners to support effective service delivery.
  • Compile, maintain, and prepare operational data, reports, and documentation to support decision‑making and ongoing operational needs.
  • Maintain and update operational records, documents, and reference materials to ensure accuracy and accessibility.
  • Assist with monitoring process performance and identifying opportunities for operational improvement.
  • Provide administrative support to operations leadership and contribute to cross‑functional coordination efforts.
Qualifications
  • Diploma or degree in Business Administration, Communications, Information Management, or a related field, or equivalent experience.
  • Minimum 5+ years of experience in a business or operational environment with exposure to centralized services, administrative coordination, or cross‑functional support
  • Strong attention to detail, organizational skills, and the ability to manage multiple priorities.
  • Effective written and verbal communication skills and the ability to work collaboratively with cross‑functional teams.
  • Proficiency with standard office software; experience with data management, reporting tools, or ERP systems is an asset.
  • Experience supporting audits, regulatory compliance, or licensing processes is considered an asset.
