This position is expected to be on site Monday through Friday from 8am to 4pm. Our office is located at 261211 Wagon Wheel Way, Calgary, AB T4A 0N1.

The Impact You’ll Make

We are seeking a dynamic and detail-oriented Office and Recruitment Administrator to be a central pillar of our operations. In this dual role, you will provide essential support to our recruitment team while ensuring the smooth and efficient management of our front office. The ideal candidate is a highly organized multitasker who excels at balancing priorities and enjoys being the go-to person in a fast-paced environment.

What you’ll do
Recruitment Administration & Support
  • Maintain and update job postings on platforms like Indeed.
  • Track all new applicants from various sources (Indeed, Workday, Randall-Reilly) using Excel.
  • Manually create and update profiles in Workday for drivers who have not applied online.
  • Assist the recruitment team with various administrative tasks.
Onboarding & Orientation Coordination
  • Manage all travel logistics for new drivers attending orientation, including booking flights and hotels.
  • Prepare and distribute orientation preparation materials, such as drug & alcohol forms and weekly communication lists.
  • Track and process employee referral forms and authorize payouts.
  • Conduct regular audits to ensure driver files are complete and all signed offer letters are uploaded into Workday.
Reception and Office Management
  • Serve as the first point of contact for the office, greeting all visitors and managing incoming/outgoing mail.
  • Process and pay all building-related invoices, including rent, utilities, and services (e.g., Fed Ex, garbage disposal).
  • Manage vendor accounts and inventory for all office amenities, including coffee, water, and general office supplies.
What you’ll bring
  • Proven experience in an administrative capacity, with exposure to recruitment or HR considered a strong asset.
  • Exceptional organizational skills and the ability to manage multiple competing priorities effectively.
  • Strong proficiency in MS Office Suite (especially Excel); experience with HR systems like Workday is a plus.
  • Excellent communication and interpersonal skills, with a professional and welcoming demeanor.
  • A proactive, detail-oriented approach to problem-solving and daily tasks.
