LocationOnsite, Calgary, Alberta
Schedule- ✅ Onsite Monday to Friday, 7:30 AM – 3:45 PM (including a 1-hour lunch break)
- ✅ Occasional shifted hours: 8:45 AM – 5:00 PM
The Role

We’re seeking an "Experience Coordinator" to be the welcoming face of our corporate environment and ensure every interaction—whether with clients, guests, or team members—is seamless and memorable. This role blends front-line engagement with behind-the-scenes coordination, making you the cornerstone of a polished, high-touch workplace experience.
What You’ll Do Front Desk & Guest Experience- Serve as the primary point of contact at the front reception desk, greeting clients, guests, and team members with professionalism and warmth.
- Manage temporary security access cards in compliance with established policies.
- Ensure the workplace remains safe, secure, and well-maintained.
- Provide in-person and virtual support to team members via shared email and phone lines.
- Oversee meeting room logistics, including large onsite meetings.
- Administer workstations, lockers, team storage, and parking assignments.
- Manage incoming mail and deliveries with accuracy and efficiency.
- Deliver training and support for space booking software.
- Conduct bi-annual space audits to optimize utilization.
- Provide daily lunchtime coverage and occasional full-day coverage for the Experience Curator role.
- Support catering oversight, event setup/takedown, replenishment of supplies, and space resets.
- This coverage requires standing/walking for approximately 80% of the day and the ability to lift and carry up to 20 pounds.
- Serve as the primary point of contact for at least one amenity vendor (e.g., biophilia program, food services).
- Monitor vendor performance against contract terms and SLAs.
- Foster long-term, collaborative relationships with vendors.
- Identify opportunities for innovative solutions and efficiencies.
- Conduct quarterly vendor reviews, address issues proactively, and manage invoicing and cost-reduction strategies.
- Support change management initiatives and workplace communications.
- Travel to other corporate locations within Alberta for coverage support as required.
- Perform additional administrative tasks as requested.
- +2 years in customer service and administrative roles, ideally in a corporate or banking setting.
- Strong written and verbal communication skills.
- Considered an asset:
- Familiarity with space booking software
- Understanding of change management principles
- Ability to thrive in a fast-paced, dynamic environment
