PositionSummary
We are currently recruiting for an Administrative Assistant to join our Heavy Aero team in Calgary, Alberta. Reporting to the VP of Operations, the Administrative Assistant’s primary responsibility is to provide comprehensive administrative support to maintain office efficiency, including managing office supplies, coordinating access and security, and assisting with Occupational Health & Safety documentation.
Responsibilities- Assist with taking, typing, and filing meeting minutes for OH&S
- Support the filing and organization of OH&S documents
- Order and manage office supplies and maintain inventory
- Coordinate supply needs for the office and maintain budget spreadsheets
- Assist with access control (FOBs, s) and track company assets
- Provide basic IT support and reconcile credit card statements
- Answer phone calls and direct inquiries appropriately
- Assist with office events and employee functions
- Maintain cleanliness and organization of office areas
- Proficient in Microsoft Outlook, Teams, Excel, Word, and Adobe
- Strong verbal and written communication skills
- Excellent time management and prioritization abilities
- Flexibility to adapt quickly when priorities change
- High attention to detail and accuracy
- Strong organizational and multitasking skills
- Ability to perform physical tasks, including lifting and moving items weighing up to 50 pounds
- Must be legally entitled to work in Canada
- Must be capable of obtaining and maintaining a Restricted Area Identification Card (RAIC)
- Primary work location is an office situated within an aircraft hangar environment. Occasional entry into the hangar may be required for tasks such as coordinating access, asset tracking, or supporting operational needs
- When entering the hangar, there may be exposure to noise, fumes, dust, and varying temperatures associated with aviation operations
- Minimal physical activity is expected in the office; however, occasional walking within the hangar and standing for short periods may be required
- Personal protective equipment (PPE), as defined by the Company, will be provided and must be worn when entering the hangar
- Must be able to see, hear, and effectively communicate with others in both office and hangar settings
