We are seeking a reliable and organized Production Administrative Assistant to join our team. The ideal candidate will enjoy and thrive in a fast-paced environment, while providing administrative support to the Production Housing Plumbing & HVAC departments, and ensuring smooth operation of daily tasks and efficient communication between internal and external stakeholders.

From answering incoming calls and emails to creating and maintaining job files, your day will be a dynamic mix of responsibilities. You ll play a crucial role in obtaining city permits, communicating with vendors and contractors, and ensuring our database and spreadsheets are up-to-date. Your attention to detail and organizational skills will contribute to the efficiency and success of our department.

As a Production Administrative Assistant, you ll enjoy a competitive wage of $25 - $27 per hour to start
, based on your experience, along with health, dental, and a matching RRSP program.

Key Responsibilities
  • Provide administrative support to the plumbing and HVAC departments, including but not limited to answering phones, responding to emails, and handling correspondence.
  • Maintain and update records, databases, and filing systems related to projects, clients, and inventory.
  • Create and maintain job files including invoicing and creating POs.
  • Obtain city permits.
  • Coordinate with vendors, suppliers, and subcontractors to ensure timely delivery of materials and services.
  • Communicate effectively with clients to address inquiries, schedule appointments, and follow up on service requests.
  • Handle large volumes of data entry with high level of accuracy.
Must Have Qualifications
  • 3+ years of administrative experience
  • 1+ years of plumbing and/or HVAC administration experience
  • Basic knowledge of the plumbing/HVAC industry
  • Proficiency with Microsoft applications, including Excel, Outlook, and Word
  • Strong attention to detail
  • Great organizational abilities
  • Experience with Whats App Messenger
  • Experience with Trades ware Software is an asset
