Moodys Private Client Law LLP is looking for an Administrative Assistant to provide high-quality administrative support to senior staff members. The role requires professionalism, discretion, and efficiency while maintaining strict confidentiality to enable smooth day-to-day operations of the department.

Key Responsibilities:

  • Provide timely, accurate, and efficient administrative support to Directors and senior staff.
  • Exercise discretion, tact, and diplomacy when dealing with senior internal and external contacts, protecting highly confidential information.
  • Assist in drafting, reviewing, and revising correspondence, contracts, policies, procedures, presentations, and contact lists.
  • Organize schedules, coordinate meetings, appointments, and travel arrangements.
  • Maintain an organized and standardized filing system for easy access to files and information.
  • Support reporting and other executive-related tasks as required.
  • Communicate and collaborate with all team members, taking a team-based approach to problem-solving.
  • Handle and distribute incoming and outgoing correspondence, mail, facsimiles, and couriers.
  • Perform other duties and support functions as assigned.

Qualifications:

  • Minimum of three years’ administrative experience in a corporate environment.
  • Strong proofreading, editing, and written communication skills.
  • Ability to work independently under demanding workloads and meet tight deadlines.
  • Adaptable, able to multitask, prioritize effectively, and demonstrate sound judgment and business sense.
  • Strong organizational, time management, and interpersonal skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, SharePoint, Visio) and familiar with tools such as Adobe, Teams, Calendly, and Zoom. Ability to quickly learn other systems and assist staff with basic technology issues.
  • Experience in sales, marketing, or finance is an asset but not required
