We're a not-for-profit mental health centre based in Calgary, with locations across Alberta. Our mission is to build good mental health and well-being so everyone can thrive in their community.

Job Summary

Reporting to the Executive Assistant, the Administrative Support I / II will provide clerical and administrative support and consistent quality reception. The Administrative Support I role will demonstrate due diligence in being exceptional in the delivery of high‑quality services and in meeting the requirements of the Health and Safety Management System at Wood’s Homes.

Key Responsibilities
  • Functions/Tasks and Key Responsibilities
  • Greet internal and external guest in a courteous and professional manner
  • Answer phone lines and respond to general enquiries
  • General clerical duties including data input, typing, and filing
  • Responsible for managing photocopier and phone codes, combining month end summaries for phone, photocopiers, couriers, and mail
  • Book rooms for both internal and external groups, coordinate food orders, parking requirements and IT support as needed
  • Coordinate courier services, order office stationery and ensure supply inventory is kept at necessary levels for operation
  • Provide administrative support as assigned and provides back up for other administrative staff
  • Update and maintain organization database and communication listings, and all telecommunication requirements
  • Completes all required Health and Safety training.
  • Reports workplace hazards, unsafe or unhealthy conditions, or incidents (including near misses, injuries, or equipment damage) to their direct supervisor
Working Conditions
  • Program locations consisting of schools, community‑based, residential, and Wood’s Homes administration building
  • Prolonged periods of sitting
  • Occasional travel to additional Wood's Homes locations and Programs
Qualifications & Work Experience
  • Education, Training, Diplomas and Certifications Needed
  • High school diploma
  • Minimum two (2) to five (5) years’ experience in a related field
  • Customer service experience an asset.
